    Our law firm is looking for an organized and self-motivated Office Administrator who will be responsible for providing administrative support to our attorneys and paralegals, and to supervise the front office staff. The Office Administrator’s role will include working closely with the Managing Attorney, COO, and others in the leadership team to create and improve processes and procedures, as well as supervising the handling of clerical duties, coordinating calendars, and organizing meetings. Candidates without any relevant experience will not be considered. Our staff truly works as a team to accomplish our goals. The work environment is high-demand, but also very congenial. While this is an administrative position, if you are interested in advancing your career in the law, we will be 100% supportive. Responsibilities: • Perform overflow receptionist activities/job duties when current receptionist staff are unable to • Work with the Managing Attorney and COO of the firm to create a new employee onboarding process/package • Regularly create and update law firm policies and procedures • Track all attorney MCLE/ethics fulfillment, and report to attorneys via email on a quarterly basis regarding MCLE fulfillment obligations • On an annual basis (by December 15 for the following year), ensures all state and federal employment notices are transmitted to all employees via email (copying HR Director) and are posted in the appropriate visible areas in the break room • Orders supplies when necessary, within-firm policies and procedures, including submitting expense reports to HR Director prior to ordering supplies • Prepare and send invoices to clients before the end of the month, and follow up with clients via phone and email for payment on overdue invoices as instructed by Managing Attorney • Create and update firm forms, templates, and checklists in law firm systems as instructed by Managing Attorney • Train all newly hired receptionists and administrative staff • Manage the Managing Attorney’s email within first procedures and protocols, directing inquiries to the appropriate staff to handle the matter • Draft non-legal correspondence to transmit to clients, county/state entities, and other third parties • Resolves issues with technology (Internet, e-fax, VPN server, etc.) and equipment (printers, computers, etc.) utilizing the property technological vendors and consultants Qualifications: • AT LEAST 2 YEARS OF EXPERIENCE AS AN OFFICE ADMINISTRATOR, office assistant, or other similar roles • AT LEAST 2 YEARS OF EXPERIENCE IN A RECEPTIONIST, customer service, or other similar roles • Outstanding communication and interpersonal abilities • Excellent organizational and leadership skills • Familiarity with office management procedures • Excellent knowledge of MS Office and other technological platforms, such as CRMs • High school diploma; Associate's Degree (or equivalent) in office administration or relevant field is preferred • Spanish fluency is a plus, but not required Compensation: $21 or more per hour (depending on experience)
