CLIENT SERVICE ASSOCIATE
HFM Investment Advisors is seeking a Client Service Associate to join our growing team. We are an independent, fee-based investment management firm that has client service as our #1 priority and we are looking for someone with the same mindset to join us as a full time CSA. CLIENT-FACING RESPONSIBILITIES:
- Servicing client investment accounts – coordinating deposits, withdrawals, address changes, objective changes, etc.
- Answer main office incoming calls, transfer/take message/perform next step as appropriate.
- Greets office guests and provides refreshments - keep the office common areas stocked with supplies and ensure the areas are neat and presentable.
- SIMPLE IRA Project Manager – Responsible for handling incoming contributions and documenting as appropriate. Collaborating with Retirement Plan Associate on annual open Enrollment.
- Required Minimum Distributions (RMD) Project Manager – Responsible for coordinating and processing RMDs for eligible clients each year.
NON-CLIENT FACING RESPONSIBILITIES:
- Input contact information into Salesforce.
- Keep Salesforce process workflows and tasks updated and moving forward
- Copy/scan/shred throughout process of all servicing cases per HFM guidelines.
- Attend and contribute to team meetings – we value everyone's input
- Coordinating and sending out monthly client birthday/anniversary cards and milestone gifts.
- Open daily Mail (USPS/UPS/FEDEX) and distribute or process appropriately.
- Handle firm errands (post office, UPS, B&N, Local Bank, ShopRite, or client's office) as needed.
- Supply Inventory Management for office including tracking costs and returns.
- RSVP/register team members for outside meetings/events as directed.
- Social media connection requests
MINIMUM REQUIREMENTS:
- 2 years of experience in financial services industry
- Experience with a CRM – Salesforce experience is a big plus!
- Experience working with financial custodians (Schwab, TD Ameritrade, etc)
- Intermediate level of skill with Microsoft Office Suite
- Tech savvy with ability to quickly learn to navigate various web based platforms
- Attention to detail and ability to work in a team environment
- Professionalism and discretion with client information
- Ability to follow/interpret procedures, and employ reason to accomplish tasks and duties efficiently and effectively
- Great communication skills, both verbal and written
COMPENSATION:
- Salary Range: $40,000-60,000 based on industry experience
- Bonus: Variable based on company metrics

Qualified candidates will be invited to schedule a 15 to 30 minute phone interview conducted by our consultant (who is the hiring manager for this position), then an in-person interview with the firm. If there is mutual ground on which to move forward, candidates will be asked to take a Caliper assessment and a Kolbe assessment. Qualified candidates must be able to pass a background and credit check and because of the sensitive nature of our clients' information, will be asked to sign a non-disclosure agreement.
