    JOB DESCRIPTION - CLIENT SERVICE ADMINISTRATOR (CSA)

     

    A Wealth Management firm (Fee-Only, Fiduciary) located in Winston-Salem is seeking a full time Client Service Administrator (CSA). You will work closely with our Advisory Team and will be a crucial part of the client experience.

    JOB SUMMARY

    As a member of the Client Services Team, the CSA is responsible for processing client requests, preparing reports, responding to client inquires, and other tasks as needed to support the Advisory Team. In addition, the CSA is responsible for various administrative office duties including assisting with answering phones and scanning.

    DUTIES AND RESPONSIBILITIES

    • Deliver superior client service—troubleshoot problems, organize meetings; serve as liaison between Advisor and client as needed
    • Documenting client communications in our Client Relationship Management (CRM) System and creating reports
    • Account paperwork, opening, closing and transferring accounts, etc.
    • Assist clients with moving money
    • Prepare client quarterly performance reports, tax reports and others as needed
    • Maintain Client Contact Information with Custodian
    • Update Client Financial Data
    • Assist with answering the phones
    • Assist with the mailing of various reports and marketing materials
    • Assist Financial Planners in finalizing and distributing client financial plans
    • Assist Advisory Staff with preparation of client correspondence, back up documentation and follow up
    • Perform other duties, that may be assigned, when required by the organization
    • Preparing Conference rooms for meetings
    • Greeting clients
    • Confirming appointments
    • Distributing mail
    • Assist with maintaining CRM master calendar and running various reports
    • Preparation of client and prospective client agreements, cover letters,  as well as general letters
    • Send and track preliminary discovery questionnaires and risk tolerance questionnaires
    • Scanning documents to office filing system

     

    QUALIFICATIONS The CSA position requires the following:

    • Experience in client services, preferably at a broker-dealer or financial planning firm
    • Associates Degree, Bachelors Degree or commensurate experience in Finance, Economics or Accounting
    • Proficiency in the Microsoft Office Suite
    • Must be organized and detail-oriented
    • Must be a self-starter and self-managed
    • Flexibility to help team members with their responsibilities when necessary
    • Client first attitude
    • Excellent written, verbal and interpersonal communication skills
    • Team player, collaborative, able to work with and through others
    • Desire and ability to work successfully in a family run, small company environment
    • Desire to learn, grow and advance within the organization

    SALARY AND BENEFITS

    • Competitive salary plus bonus. Starting salary will be competitive and based on experience in the industry
