    We are seeking an experienced Leave of Absence Specialist to serve as a subject matter expert in FMLA, ADA, and multi-state leave compliance. This role is ideal for an HR professional who thrives in a highly detailed, compliance-driven environment and enjoys guiding clients through sensitive and complex situations.

    Position Summary The Leave of Absence Specialist is responsible for overseeing and administering leave requests and workplace accommodations across a multi-state client base. This role serves as the internal subject matter expert on FMLA, ADA, and related federal and state leave requirements, ensuring accurate case management and compliant processes.

    The Specialist manages the full leave lifecycle from initial request through return-to-work while maintaining consistent documentation, clear communication, and adherence to regulatory requirements. This position works collaboratively with HR Business Partners, Benefits, clients, and co-employees to ensure leave cases are handled efficiently, professionally, and in compliance with all applicable laws.

    This is a highly detail-driven role requiring strong organizational skills, sound judgment, and the ability to manage multiple concurrent cases within a web-based leave administration platform.

    Key Responsibilities

    • Oversee and administer employee leave requests, including FMLA, ADA accommodations, and other state and local leaves across 47 states.
    • Guide clients through the interactive process for ADA accommodations, ensuring appropriate documentation and compliant decision-making.
    • Manage the full leave lifecycle: eligibility determination, required notices, medical certification review, tracking, extensions, and return-to-work coordination.
    • Maintain accurate case documentation within a web-based leave administration program.
    • Serve as a compliance resource for clients on complex leave scenarios, including overlapping leave laws and multi-state considerations.
    • Communicate proactively with clients, supervisors, co-employees, and internal departments to ensure clarity of responsibilities and timelines.
    • Identify compliance risks and provide recommendations to mitigate potential liability.

    Qualifications

    • Bachelor’s degree in Human Resources or a related field (preferred).
    • 3+ years of hands-on leave administration experience (FMLA, ADA, and multi-state leave compliance strongly preferred).
    • Ability to interpret medical certifications and assess eligibility and compliance requirements.
    • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
    • Excellent interpersonal and written communication skills, with the ability to build strong relationships and provide clear, customer-focused guidance to clients.
    • Strong communication and organizational skills, with a customer service and detail-oriented approach.
