We are Lefkoff Law, LLC, and we provide holistic legal services to small businesses throughout Georgia with a specific focus on the motor vehicle industry – dealers, finance, repair, repossession, scrap, and auctions. We are an innovative provider of legal services, always trying out new ways to provide clients with an exceptional experience and never afraid to try out new software to get us there. Our Sandy Springs-based law firm is looking for a special law firm front desk receptionist to work full-time answering phone calls, greeting clients, and performing administrative tasks to support the growth of the firm. Some firms have a practice-area niche. We have an industry niche. In our niche in the motor vehicle industry, we handle different practice areas. Clients think of us as the legal Quarterback of their team – the ball comes to us first. If that sounds exciting, you may be the right fit. Because clients are businesses, we look at clients’ disputes from an economic perspective, not an emotional one. If you are afraid to talk on the phone and practically become friends with business owners, this job is not for you. If you can talk to a wall and make friends with it, we’d like to talk with you. We are seeking a full-time firm administrator to fill a salaried position with a focus on personal growth and happiness. Your personal autonomy, freedom, and values are prioritized at our firm. As the receptionist, you will generally be the clients' first contact and work hand-in-hand with the firm’s founder, associate attorney, and administrator to grow and develop the law firm from the inside. Responsibilities: Manage telephone, electronic, and mail communications • Respond to incoming phone calls and schedule return calls • Vet potential clients to determine if they may be a fit for the firm before transferring to new client onboarding • Review and assign incoming emails to the appropriate team member; save email attachments in their proper digital locations • Sort, distribute, and scan incoming physical mail • Manage outgoing mail • Send physical new client welcome materials Maintain office calendars • Internal: PTO/Vacations, Conference Rooms, Staff Meetings, Workshops, etc. • External: Call Times, Court Hearings, Trials, Mediations, Client Events, etc. Welcome and host visitors • Offer and provide refreshments • Escort visitors to designated areas • Answer questions from visitors (including providing directions) • Assist with scanning, printing, touring, etc. Maintain client and vendor lists • Periodic overview/update of client and vendor addresses, phone, email, etc. Oversee and organize inventory and supplies • Keep office supply inventory and periodically submit same for ordering • Stock conference room and kitchen Perform client intake and data entry • Maintain meeting minutes, agenda, and key documents as necessary Administrative support to all team members, as necessary • Compile new client packets, client appreciation gifts, and assist with additional administrative projects • Coordinate executive travel, event planning, etc. • Maintain common areas (reception, conference rooms, kitchen) • Light filing as needed Qualifications: • Possesses strong customer service skills, interpersonal skills, organizational skills, and time management skills • Has experience answering telephone calls and troubleshooting stressful situations • High school graduate, G.E.D. recipient, or equivalent • 1 year of experience as a receptionist, administrative assistant, guest service specialist, or similar position preferred • Exhibits working knowledge of Apple Mac OS, Microsoft Office, and basic computer skills • Bilingual (Spanish/English) preferred Compensation: $31,000 - $35,000 per year
