The Executive Assistant will provide high-level administrative support to the CEO. The Executive Assistant will act as the first point of contact to minimize interruptions to the CEO's time by managing their email inbox, phone calls, and managing external communication on their behalf. In addition, the Executive Assistant manages and tracks real estate lead generation data in excel to be used for outbound marketing purposes and will oversee virtual assistants. The Executive Assistant must be creative and enjoy working in a business-focused environment where their contributions make a direct impact on the team. Responsibilities: • Make sure executive schedules including travel arrangements, itineraries, and team meetings are organized and up-to-date • Manage the fulfillment of data aggregation, tracking, and reports in excel for lead generation; using these data sets to order outbound marketing from the mailhouse and track campaigns for the best ROI • Provide administrative support to in-person and team members working from home and act as a liaison for external communications • Maintain human resource (HR) related items; assist with business items and take on special projects as needed • Conserve the CEO's time by acting as the first point of contact for phone calls and emails, distributing internal communication, and scheduling appointments as needed • Complete ad hoc projects as assigned – such as personal events and/or family needs • Act as a buffer to the Executive's time by reading, researching, collecting, and analyzing information as needed, in advance • Assist in preparing and managing presentation slides and pitch decks Qualifications: • Working knowledge of Google Business Apps and Microsoft office • Accustomed to working on strict deadlines and handling confidential information • Excellent communication skills, time management skills, interpersonal skills, and organizational skills • Bachelor's degree OR 2+ years as an assistant, executive assistant, or a position performing supportive duties • Strong phone and writing skills • Natural ability to take initiative and use common sense decision-making when working independently • Determined and reassured personality who can clearly articulate their ideas and opinions with confidence • A team player who thrives working with a tight-knit company where their activities directly affect the bottom line Compensation: $65,000 - $75,000 yearly
