Legal Admin Assistant – Personal Injury (Pre-Suit & Litigation) Job Overview: The Legal Admin Assistant will be responsible for supporting the pre-suit and litigation teams in handling personal injury cases. This role will involve assisting with case preparation, client communications, document management, and other administrative tasks to ensure efficient case progression. A strong attention to detail, organizational skills, and the ability to manage multiple tasks in a fast-paced environment are key to success in this role. Responsibilities: Administrative Support: • Assist in managing client files, ensuring all documentation is properly organized, updated, and filed. • Draft and proofread legal documents, including demand letters, settlement agreements, and case correspondence. • Prepare discovery documents, including interrogatories, requests for production, and subpoenas. • Coordinate appointments, meetings, and depositions for attorneys and clients. • Maintain accurate case files in both physical and electronic formats. Pre-Suit Assistance: • Assist with gathering necessary information and documentation for pre-suit investigations. • Help with drafting and sending demand letters to insurance companies and other relevant parties. • Communicate with clients, healthcare providers, and insurance adjusters to collect relevant information and documents. Litigation Support: • Assist in preparing for litigation, including filing pleadings and court documents, and ensuring deadlines are met. • Coordinate trial preparation, including organizing exhibits, witness lists, and discovery responses. • Track case progress and deadlines, ensuring nothing is overlooked. Client Communication: • Serve as a point of contact for clients, responding to inquiries, providing updates, and ensuring excellent customer service. • Schedule consultations, depositions, and other appointments with clients and witnesses. General Office Duties: • Answer phone calls, emails, and assist in office coordination as needed. • Maintain confidentiality of sensitive legal information and client matters. Qualifications: • High school diploma or equivalent (required); Associate’s or Bachelor’s degree (preferred). • Previous experience working as a legal assistant or in a legal office environment, particularly in personal injury law (preferred). • Knowledge of personal injury processes, pre-suit, and litigation procedures (strongly preferred). • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and legal management software (e.g., Clio, Needles, or similar systems). • Strong organizational skills with the ability to prioritize tasks and manage time effectively. • Excellent verbal and written communication skills. • Ability to handle confidential information with discretion. • Strong attention to detail and ability to work in a fast-paced, team-oriented environment.
