    KRISTINE ROMANO LAW Estate Planning, Elder Law, and Probate | Northborough and Natick, Massachusetts NOW HIRING: EXPERIENCED LEGAL ADMINISTRATIVE ASSISTANT We are looking for an experienced legal administrative assistant to join our estate planning, elder law, and probate practice. This is not a filing job. It is a role at the center of the client experience, where accuracy protects families and warmth reassures them. About Kristine Romano Law: We are a Massachusetts estate planning and elder law firm with offices in Northborough and Natick. We help families with wills, trusts, powers of attorney, probate and estate administration, trust administration, and MassHealth planning. The Role at a Glance: Position: Experienced Legal Administrative Assistant, Estate Planning and Probate Primary location: Northborough office at 382 West Main Street Travel: Occasional coverage at our Natick office as needed Experience: Two to three years of legal administrative experience, with estate planning or probate strongly preferred Compensation: Up to $60,000 annually, commensurate with experience Benefits include: Health insurance Dental insurance Vision Insurance Life insurance Long-term disability coverage 401(k) with employer matching Paid time off Responsibilities: What You Will Do: Documents and Drafting Support Prepare, format, and proofread estate planning documents including wills, trusts, powers of attorney, health care proxies, and deeds. Assemble signing packets and binders, coordinate signing appointments, and arrange witnesses and notarization. Handle trust funding steps such as preparing transfer documents, tracking beneficiary designations, and following up with financial institutions. Probate and Estate Administration Open and maintain probate matters, preparing petitions, inventories, accountings, and related filings for attorney review. Electronically file with the Massachusetts Probate and Family Court and monitor filings through to acceptance. Track court deadlines, citation dates, and required notices so nothing slips. Order certified copies, death certificates, and records, and correspond with courts and registries. Client Communication Serve as a first point of contact by phone and email for clients and their families, many of whom are elderly or recently bereaved. Draft clear, warm, professional correspondence on behalf of the attorneys. Schedule consultations and signings, and keep clients informed on the status of their matters. Coordinate with banks, financial advisors, title companies, care facilities, and other professionals involved in a client matter. Organization and Records Maintain asset inventories, document checklists, and matter tracking spreadsheets in Excel. Assist with MassHealth application support, including gathering and organizing lookback period documentation. Keep electronic and physical files complete, current, and audit-ready. Manage attorney calendars and support the daily rhythm of a two-office practice. Qualifications: What You Bring: Two to three years of legal administrative experience. Estate planning, probate, or elder law experience is strongly preferred. We will consider strong candidates from other practice areas who bring genuine interest in this work. Excellent written and verbal communication. You write correspondence that is clear and polished, and you can speak with a grieving family member with patience and steadiness. Familiarity with electronic court filing. Experience e-filing in Massachusetts is a plus. Working knowledge of Excel. You are comfortable building and maintaining a clean spreadsheet. Advanced skills are not required. Exceptional attention to detail. This is the single most important quality in this role. A misspelled beneficiary name or a missed filing date has real consequences for a family. Discretion and professionalism. You will handle deeply personal financial and medical information every day. Reliable transportation and willingness to work occasionally from our Natick office. Compensation: $60,000 potential annually commensurate with experience
