Boutique law firm in Valhalla, NY seeking a Legal Administrative Assistant to support our attorneys and keep our office running smoothly. This is an in-office hands-on role for someone who takes pride in organized, detail-oriented work and thrives in a fast-paced environment. We are looking for someone dependable, organized, and personable who enjoys being part of a collaborative small-office environment.
Responsibilities
• Answer and direct phone calls; take accurate and detailed messages
• Schedule appointments and send follow-up reminders
• Greet clients and visitors; provide a professional and welcoming first impression
• Maintain organized electronic and paper filing systems in accordance with firm procedures
• Assist with client intake and onboarding
• Track attorney CLE credits
• Support attorneys with document preparation, correspondence, and general administrative tasks
• Order office supplies and manage vendor relationships
• Assist with e-filing and other legal administrative tasks as needed
Qualifications
• Prior experience in an administrative or office role preferred; law firm experience a plus — we will train the right candidate
• Proficiency in Microsoft 365 (Outlook, Word, Excel); comfort learning new software
• Experience with legal practice management software a plus (firm uses Caret Legal)
• Excellent written and verbal communication skills
• Strong time management skills and the ability to reprioritize quickly
• High attention to detail and sound judgment about when to ask for guidance
• Comfortable with office technology: laptops, printers, scanners, and digital document management
