    Position Overview

    We’re seeking a detail-oriented, proactive Legal Administrative Coordinator to support daily firm operations and client services. This is an on-site position that plays a vital role in ensuring the office runs smoothly, including managing client intake and handling billing tasks to maintaining a professional, welcoming front office. This position is ideal for someone who enjoys variety, takes initiative, and wants to grow in a professional legal setting.

    Key Responsibilities

    Client Intake & Front Office Support

    Serve as the first point of contact for clients, vendors, and visitors.

    Manage client intake and maintain accurate data.

    Coordinate conflict checks, appointment scheduling, and communication with attorneys and paralegals.

    Answer phones and emails promptly with professionalism and courtesy.

    Office & Administrative Operations

    Oversee daily office readiness and front-desk operations.

    Manage mail, deliveries, and courier services.

    Maintain office and kitchen supplies, coordinate conference room setups, and assist with firm events.

    Support attorneys and staff with scanning, printing, binding, and document retention.

    Billing & Accounting Support

    Assist with client billing, receivables, and expense recovery.

    Process and log checks, prepare credit card authorization forms, and help with reconciliations.

    Maintain accurate documentation for accounting and audit readiness.

    Qualifications

    1–3 years of administrative or client service experience in a professional office; legal experience preferred, but not required.

    Strong organizational and communication skills with high attention to detail.

    Proficiency in Microsoft Office (Word, Excel, Outlook); experience with Centerbase or NetDocuments is a plus.

    Professional demeanor with the ability to multitask and stay composed under pressure.

    Reliable, punctual, and committed to maintaining confidentiality.
