    We are looking for an experienced legal assistant who can help the busy attorneys and paralegals at our law office assist our clients. This position plays an essential role in the success of our client cases. This position requires a team player who can manage multiple responsibilities and strict deadlines, communicate effectively with attorneys, staff, and clients, and work independently to accomplish case goals. A strong attention to detail and ability to track tasks from start to finish is a must. This is not a 9 – 5 position. This position requires someone willing to arrive at the office no later than 7:00 a.m. on court dates (and often earlier) to ensure the attorney(s) are prepared for court. This position also requires someone who can maintain a calm demeanor under pressure. Responsibilities: • Be willing to take on any other necessary administrative tasks to help the firm run smoothly • Use daily time records to properly process client billing with support from the accounting department • Assist with the creation of various litigation documents, including pleadings, motions, subpoenas, affidavits, contracts, and briefs for case preparation, and proofread documents a needed • Strong technology and computer skills. • Superior problem solving, common sense and good intuition. • Flexible work hours, occasionally able to stay late or work overtime as needed. Mediation & Hearing Preparation: • Prepare professional, well-organized binders for mediation and hearings. • Compile exhibits, create case timelines, and gather case-specific law/statutes. • Collaborate with assigned case paralegals to ensure accuracy and completeness. • Meet deadlines with careful attention to detail. • Occasionally attend Court with the attorney. Service of Process Management: • Draft motions for process servers. • Communicate with clients regarding the client's service preference and status of service efforts. • Oversee and manage service of process from initial filing through confirmation of service. • Evaluate and determine the most appropriate method of service for each case. • Maintain clear communication with attorneys, paralegals, and clients about status and issues. • File Affidavits of Service and calendar all related deadlines upon confirmation of service. Document and Evidence Exchange for Discovery: • Initiate external links for new clients to proactively begin uploading discovery documents. • Ensure clients receive clear instructions and follow up as needed to facilitate early compliance. • Contact clients regarding missing discovery documents Attorney Scheduling Support: • Draft and file attorney leave of absence. • Monitor court calendars to avoid scheduling conflicts during attorneys’ planned absences. Case Research • Proficient with Lexis and Westlaw. • Complete open records requests as directed. • Complete background checks on opposing parties or clients as directed. • Research property and/or business ownership. Other Duties: • Support Case Paralegals and Discovery Paralegal as needed, which may include occasionally: Completing discovery compliance, sending subpoenas, completing initial DRFA calls, meeting with clients in-office, or various other tasks as needed. • Scan in physical documents and files. • Answer incoming telephone calls professionally and handle according to company protocol. • Communicate with clients, courts, and opposing counsel. • Utilize superior writing skills to draft and respond to case related emails. • Help keep attorneys and paralegals organized and remind team of upcoming deadlines. Qualifications: • Candidates should have strong organizational skills and communication skills • Experience with legal software, litigation case management, and docketing programs • 1-2 years of prior experience in a law firm environment as a secretary or administrative assistant • Comfortable working with all Microsoft Office products • Must be able to prioritize tasks with demanding deadlines and work in a fast-paced environment • Excellent writing, proofreading, and grammatical skills • Strong healthy self-esteem and confidence, but no oversized egos. • Good sense of humor. Compensation: $38,000 - $54,000
