We are hiring an in-house Client Services Coordinator to take full ownership of estate plan execution, from final draft coordination through signing and binder delivery. This is not a back-office role. Clients will see you as a trusted guide during one of the most important moments in their planning journey. Position Overview The Client Services Coordinator owns the implementation and execution phase of the estate planning process. This role is responsible for preparing documents for signing, leading signing meetings, delivering final binders, and ensuring clients clearly understand their documents and next steps. This is a high-authority, client-facing role that requires confidence, attention to detail, and the ability to teach complex information calmly and clearly. You will work closely with the attorney and internal team while independently running signing and delivery meetings. Responsibilities: Client Meetings & Execution (Primary Focus) • Lead in-person signing meetings as a commissioned notary • Instruct clients and witnesses on proper execution procedures • Ensure all documents are correctly signed, notarized, and organized • Collect final payments when applicable Conduct binder delivery meetings, reviewing: • Asset inventories • Funding steps • Fiduciary letters Ongoing client responsibilities Document Preparation & Quality Control • Coordinate final drafts and prepare signing binders Review estate planning documents for: • Accuracy • Completeness Consistency across documents (using intake information) • Identify and resolve issues prior to signing • Coordinate corrections with the attorney and drafter as needed Process Ownership & Improvement • Identify recurring issues that arise during signings • Help document and refine SOPs related to execution and corrections • Maintain notary logs and execution records • Communicate clearly with the attorney regarding implementation status Internal Coordination • Coordinate closely with the attorney and Outreach Coordinator • Provide guidance and support to junior team members as appropriate • Ensure follow-through on all post-signing steps Qualifications: This role is ideal for someone who: • Is comfortable leading meetings and taking responsibility • Enjoys teaching and explaining complex material • Is highly organized and detail-oriented • Can self-manage without constant oversight • Maintains calm confidence in high-stakes, client-facing situations • Is comfortable using technology and learning new systems, including client management and document workflow tools. • Has a notary commission or is willing to obtain one quickly • Has estate planning or legal services experience (preferred but not required) Has experience with: • Microsoft Office Suite (Word, Excel, PowerPoint) • Adobe Acrobat (PDF Format) • Google Calendar, Google Sheets, Google Docs • Law Practice and Customer Relations Management Programs like Lawmatics, MyCase, Clio If you do not have estate planning experience, you must be able to demonstrate: • How have you successfully learned complex material in the past • How would you approach learning estate planning documents quickly and responsibly • Experience in client-facing situations and explaining complex information to clients Compensation: $24 - $30 hourly
