Legal Assistant - Drafting Coordinator
The Document Coordinator is a critical behind-the-scenes role at Randall & Bryant. You will be responsible for drafting, preparing, and maintaining the estate planning documents that our attorneys use to serve clients, ensuring every document that leaves this office is accurate, complete, and professionally presented. This is a role for someone who takes genuine pride in precision. Estate planning documents are not boilerplate; they are carefully tailored legal instruments that reflect each client’s unique circumstances and wishes. Getting the details right is the job. We use a proprietary drafting software system and will train the right candidate from scratch. No one is expected to know this system coming in. What we do expect is a genuine willingness to learn, strong data entry skills, and the ability to pick up new tools quickly and confidently. This is a full-time, in-office position at our Indianapolis headquarters. Being present in the office allows for the level of collaboration, oversight, and training that this role requires, particularly during the onboarding period. Responsibilities: • Draft estate planning documents using our proprietary drafting software (full training provided) • Perform accurate and efficient data entry to populate client documents and maintain records • Proofread all documents thoroughly before submission — catching errors before they reach the attorney or the client • Prepare and organize client files in preparation for attorney review and client meetings • Maintain and update estate planning files with consistency and attention to detail • Coordinate with attorneys and team members to ensure documents are completed accurately and on time • Learn and apply estate planning terminology and document structures over time • Contribute to the overall quality and efficiency of the firm’s document production process Qualifications: • Bachelor’s degree preferred • Prior experience in a drafting, document preparation, or administrative role is a plus • Prior law firm experience is preferred but not required • A paralegal certificate is not required • Experience with legal documents or estate planning is helpful, but we will train the right candidate from the ground up • Proficiency in Microsoft Office 365, including Outlook for email and calendar management • Demonstrated ability to handle sensitive and confidential information with discretion Who You Are • A meticulous proofreader — you read carefully, catch errors others miss, and never submit work you haven’t reviewed • Highly proficient in data entry with strong accuracy and attention to detail • Comfortable and confident learning new software systems — you don’t need to know the tool on day one, but you need to be the kind of person who masters it • Proficient in Microsoft Office 365, including Outlook, Word, and general document management • Organized and dependable — you manage your workload, meet deadlines, and follow through without being chased • A clear and professional communicator, both written and verbal • Genuinely interested in learning about estate planning — curiosity about the work and the clients we serve will make you better at this job • A collaborative team member who communicates openly and keeps others informed Compensation: $40,000 - $45,000 yearly
