    Position overview:

    The Legal Assistant will Support by providing legal and administrative assistance for criminal and civil cases. Duties include preparing legal documents, managing case files, assisting with court preparation, electronic filing using CM/ECF, and performing various office tasks. This is a full-time, onsite position requiring DOJ clearance and compliance with federal residency requirements.


    Responsibilities:

    • Prepare a variety of legal documents and correspondence in final format:
      This involves drafting, formatting, and ensuring accuracy and professionalism in legal documents, pleadings, motions, letters, and other correspondence used in both criminal and civil cases. The Legal Assistant must ensure these documents are complete, comply with court rules, and are ready for submission or distribution.

    • Assist attorneys in preparing for court proceedings, scan discovery materials into automated systems and electronic databases:
      Support the attorneys by organizing and preparing case materials needed for hearings or trials. This includes scanning discovery documents (evidence, exhibits, depositions) into electronic case management systems to ensure accessibility and proper recordkeeping.

    • Maintain and update court calendars:
      Responsible for managing court-related scheduling by keeping accurate and current calendars of court dates, hearings, deadlines, and filings to support timely legal action and avoid missed appointments.

    • Assemble trial and grand jury exhibits and notebooks:
      Compile physical and/or digital exhibits, evidence, and legal documents into organized binders or notebooks for use by attorneys during trials or grand jury proceedings, ensuring all materials are complete, indexed, and easy to reference.

    • Organize, maintain, close, and archive legal case files properly:
      Manage case files by opening new files, tracking progress, updating records, ensuring all documents are correctly filed, and closing files when cases conclude. Closed files must be prepared for onsite storage or shipment to offsite archives per procedural standards.

    • **Assist attorneys and paralegals with electronic filing of legal documents via Case Management/Electronic Case Filing (CM/ECF) system (training provided): **
      Perform or support the electronic submission of court documents through the CM/ECF system, which is essential for federal court filings. This task requires technical proficiency and attention to filing deadlines and rules.

    • Review files and correct any omissions in records; check closed files to ensure proper procedures have been followed:
      Conduct quality control checks on legal files to identify and fix errors, omissions, or procedural deficiencies. Ensure that each closed file is complete, compliant, and properly documented before archiving.

    • Assist the Administrative Division with special projects such as mail processing, office moves, court runs, etc:
      Support miscellaneous operational tasks that help maintain office efficiency, including distributing mail, assisting with physical office relocations, running documents or materials to court, and other administrative duties as needed.

    • Serve as back-up receptionist:
      Provide front desk coverage when the primary receptionist is unavailable, including greeting visitors, answering phones, and managing incoming communications and inquiries.

    • Assist with various other assignments as needed:
      Complete additional tasks and projects assigned by supervisors, ensuring flexibility and readiness to support the office beyond regular duties.


    Experience Required: ​​

    • Proven experience in legal support or assistant roles, with the ability to perform duties such as preparing legal documents and correspondence in final format.
    • Experience assisting attorneys in court preparation, including scanning discovery materials into automated systems and electronic databases.
    • Experience maintaining court calendars and organizing trial and grand jury exhibits and notebooks.
    • Experience managing legal case files, including opening, maintaining, closing, and archiving files properly according to procedural standards.
    • Experience assisting with electronic filing of legal documents through Case Management/Electronic Case Filing (CM/ECF) systems (training provided if necessary).
    • Experience reviewing case files for omissions and ensuring proper closing procedures are followed.
    • Experience working on administrative projects such as mail distribution, office moves, court runs, and other special assignments.
    • Ability to serve as a back-up receptionist and handle various office administrative duties.
    • Competence working in a compliance-driven, federal government legal environment is highly desirable.
    • Paralegal certification or relevant legal administrative training is preferred but not mandatory.
    • Familiarity with legal databases and electronic litigation support systems such as Relativity, Eclipse, Lexis/Nexis, Westlaw, and PACER is advantageous.
    • Demonstrated attention to detail, organizational skills, multitasking capacity, and ability to work under supervision within a federal setting.

    Preferred Skills:

    • Experience with federal legal procedures, especially criminal and civil cases.
    • Familiarity with electronic filing systems like CM/ECF and legal databases (Relativity, PACER).
    • Strong document preparation and file management skills.
    • Excellent organizational and detail-oriented abilities.
    • Ability to support court preparation and handle discovery materials.
    • Competent with office technology and quick to learn new legal software
    • Good communication skills and teamwork in a fast-paced federal office.
    • Discretion in handling sensitive information.
    • Willingness to work onsite with occasional approved travel.

    Educational Qualifications:

    • Relevant education and training in legal administrative support.
    • Paralegal certification is preferred but not required.
    • Candidates typically have sufficient education and demonstrated competency to perform legal and administrative tasks effectively.
    • Formal legal education such as a bachelor’s degree or higher is not explicitly required but can be advantageous.
    • Practical experience combined with legal administrative training is highly valued.

    Notes:

    • Occasional travel may be required for training; travel expenses will be reimbursed per Federal Travel Regulations.
    • Overtime and work outside regular hours may be required with prior approval.
