What You’ll Do • Handle phone calls with empathy and professionalism. • Assist with wills, trusts, and probate document preparation. • Greet and support clients for estate planning appointments and signings. • Double-check attorney calculations (percentages, asset distributions, figures). • Keep files, calendars, and deadlines organized. • Support the attorney with scheduling, billing, and daily operations. Why You’ll Love This Role • Meaningful work helping families protect their legacies • Predictable hours — no litigation stress • 401(k) matching + growth opportunities • Drama-free, respectful team culture • Option for 4-day workweek (Mon–Thurs, 10-hour days) if you prefer long weekends Responsibilities: What You’ll Do Client Service & Case Support • Guide clients through the estate planning and probate process with clarity and professionalism • Handle sensitive conversations with empathy, both in-person and on the phone • Ensure clients feel supported while maintaining structured workflows Document Preparation & Review • Draft and prepare wills, trusts, powers of attorney, and probate pleadings • Double-check estate calculations, percentages, and financial figures for accuracy • Organize and maintain physical and digital client files • Assist with probate administration and e-filings in Florida courts Case & Office Management • Track deadlines, probate milestones, and estate administration tasks • Coordinate attorney calendars and client appointments • Prepare and process client invoices and billing • Maintain smooth daily office operations Qualifications: This position is ideal for someone whoThrives on accuracy : You take pride in detail, catch mistakes, and always double-check your work • Communicates clearly and confidently : You ask clarifying questions, confirm instructions, and take ownership of tasks • Is highly organized and methodical : You use systems, checklists, and tools to manage multiple matters without missing deadlines • Maintains calm professionalism : You remain composed in emotional situations and interact respectfully with clients and staff • Wants meaningful work: You value helping families protect what matters most What We’re Looking For • 2+ years as a legal assistant (estate planning/probate/guardianship preferred) • Strong Microsoft Word/Excel skills • Experience with Clio, Lawmatics, or Wealth Counsel a plus • Comfort with math and calculations • Calm, reliable, client-focused professional Compensation: $23 - $28 hourly
