    Job Description

    Ross and Matthews, PC is looking to hire three (3) Legal Assistants. Must observe all rules governing privileged communications and confidential information. Job duties include entering information in LegalShield system and practice management software, maintaining files in DMS (document management system), and performing other tasks/projects as assigned by the supervisor. Must be comfortable interacting with members and attorneys on a daily basis. Expect to sit for prolonged periods at a desk while working on a computer.

    Education/Experience/Skill Requirements for Legal Assistant

    • High school diploma or equivalent. (Required)
    • Must have a minimum of 2 years of office experience.
    • Accurate and proficient typing skills (50+ wpm).
    • Positive/upbeat and helpful temperament.
    • Excellent customer service skills/focus with demonstrated composure, ownership & professionalism.
    • Analytical skills with the ability to provide appropriate information.
    • Ability to handle confidential information.

    • Ability to communicate clearly, concisely and with good grammar (both verbal & written).
    • Self-motivated (requiring minimal supervision) with strong multi-tasking, prioritization and organization skills.

    • Ability to follow instructions and work within policies/procedures to meet/exceed deadlines.
    • Intermediate skill set in Microsoft Office.
    • Experience with other office equipment such as scanners and fax machines.

    Essential Job Duties for Wills Legal Assistant

    • Legal experience is preferred.
    • Gather information from attorney and member in order to accurately complete Wills and Powers of Attorney.
    • Type and formats Wills and Powers of Attorney, proofreads work for spelling, grammar and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
    • Answer incoming calls and answer members’ questions regarding Wills and Powers of Attorney, escalating as necessary.
    • Work independently and within a team to coordinate division of workload.
    • Maintain accurate departmental files, both hard copy and electronic, to ensure ease of location and appropriate retention.
    • Maintain information for departmental reports.
    • Perform basic office functions, such as answering, screening and directing phone calls; managing mail; and printing or copying documents.
    • Adhere to firm standards of courtesy and professionalism, as well as LegalShield service standard requirements.

    Secondary Job Duties

    • Wills Clerk back up when required.
    • Special projects as needed.
    • Other tasks/projects as assigned by supervisor.

    Essential Job Duties for Civil Litigation Legal Assistant

    • Paralegal training and/or experience is required.
    • Verify no conflict of interest with plaintiff(s) or co-defendants.
    • Responsible for calendaring and monitoring court deadlines.
    • Assist attorneys with correspondence, telephone calls and appointments.
    • Responsible for compiling and maintaining departmental reports.
    • Draft, proofread and mail correspondence and legal documents.
    • Manage case files, ensuring that litigation files are properly maintained, and records and legal documents needed for litigation are collected and organized.
    • Ensure legal document files are maintained and destroyed in compliance with record retention policies and procedures.
    • Perform basic office functions, such as answering, screening and directing phone calls; managing mail; and printing or copying documents.
    • Electronic filing of pleadings.
    • Manage client billing by preparing, finalizing and sending bills, as well as resolving issues along with managing attorney.
    • Prior exposure to litigation including pleadings, deadlines, service process, discovery, client and court communication, Texas Rules of Civil Procedure, handling conflicts of interest, attorney-client privilege, etc.

    Secondary Job Duties

    • Entry of information in LegalShield system and practice management software.
    • Maintenance of files in document management system.
    • Other tasks/projects as assigned by supervisor.

    Essential Job Duties for Firm Legal Assistant

    • Verify no conflict of interest with plaintiff(s) or co-defendants.
    • Electronic filing of court documents
    • Responsible for calendaring and monitoring court deadlines.
    • Manage, organize and maintain documents in electronic document management system.
    • Manage client billing by preparing, finalizing and sending bills, as well as resolving issues along with managing attorney.
    • Draft, proofread and mail correspondence and legal documents.
    • Performs basic office functions, such as answering, screening and directing phone calls; managing mail; and printing or copying documents.
    • Answer incoming calls; assisting callers with issues or forwarding to attorney.
    • Manage case files, ensuring files are properly maintained, collected and organized.
    • Adhere to firm standards of courtesy and professionalism, as well as LegalShield service standard requirements.
    • Mandatory in office working at least one day per week.

    Pay rate: $14/hr.

    Work Location: Hybrid.

    NOTE: In-office presence is required for the Legal Assistants for Wills and Civil Litigation. After 30 days of continuous employment, you will be eligible to earn remote workdays, based on performance and company policies.

    Must live in the North Texas area.
