Responsibilities: • Organize client files, both paper and electronic, and scan client documents and files • Schedule and calendar meetings with clients and case deadlines • Prepare standard legal forms for clients • Draft estate planning documents by utilizing the law firm’s standard forms for attorney review and editing • Draft correspondence to clients and other third parties • Prepare deeds using the law firm’s standard forms • Perform basic public records research concerning property title history, and marriage and divorce records in support of client matters • Communicate case updates and workflow processes with clients and gather information needed from clients to complete their estate plans and other legal matters with the firm • Assist with notarizing and witnessing at estate planning signings and other client meetings • Track and manage case workflow alongside the Firm’s attorneys and other production staff to track all cases/client matters that are timely proceeding through each phase, and anticipate and coordinate next steps in the process, both for the client and the attorneys • Providing excellent customer service while assisting the intake specialist with the intake of new potential estate planning clients during the client intake and onboarding process Qualifications: • Minimum 3-5 years of experience working as a Legal Assistant (this is NOT a Paralegal role) • College degree, OR other degree from an accredited school with a Paralegal certificate, AND Legal Assistant experience above • Confident knowledge of the Texas Estate Code, specifically Will formalities, probate process, and Texas intestacy/inheritance laws (your knowledge will be tested) • Excellent legal drafting and writing skills (3 years of consistent and regular experience preparing near-complete drafts of estate planning documents, real estate deeds for an attorney to finalize) • Excellent verbal and written communication skills: 3 years of experience calling on clients and probate court clerks and staff, and asking questions to get to the root of the problem, as well as drafting detailed written communications with specific instructions to clients concerning their matter • 3-5 years of customer service and client care in a law firm environment • 3 years managing multiple calendars, tracking schedules for clients and attorneys, and docketing court deadlines • Demonstrated experience meeting billable requirements Compensation: $24 - $29 hourly
