Are you an organized, detail-oriented professional with a passion for helping others? Safe Harbor Estate Law is seeking a dynamic Legal Assistant to join our compassionate and driven legal team. This role is vital to the smooth operation of our firm, particularly in supporting our medical assistance (MA) practice area. This role will be doing work related to Medicaid as well as asset protection, planning, and application. As the gatekeeper of our firm’s legal process, you will work closely with attorneys, clients, and external agencies to keep cases on track and ensure exceptional client service. Your work will contribute directly to improving the lives of seniors and families navigating complex healthcare and legal systems. Responsibilities: • Interacts with clients and other parties and builds relationships with them by phone, email, and in person • Maintain and update case management systems, relationship management systems, document management systems, and other mission-critical systems • Retrieves and delivers emails and voicemails, and ensures that copies of messages are documented in the Firm’s files (paper, electronic, or both) • Interacts with the courts and administrative agencies regarding hearings, motions, and other appearances, becoming the courts’ primary point of contact with the firm for all administrative and scheduling issues • Prepares and sends legal correspondence as directed by attorneys; puts documents typed initially by attorneys into final form, ready to be delivered to courts, clients, and co-counsel and opposing counsel • Ensures that the attorney has all of the relevant materials ready for meetings or court appearances • Review verification request responses from various Minnesota counties. • Working with assessors to determine the status of Medical Assistance applications • Generates Medical Assistance renewal task lists. Enter time and billing data • Sets up and manages new client and Firm files; closes files at the conclusion of the case • Scan and/or save all client-provided documents (uploads, drop-offs, and mailed-in) and create a physical file • Prepare for reviews by drafting, printing, and scanning meeting documents • Own signing meetings with clients **** – includes prepping and printing documents, facilitating the meetings and answering questions from clients, processing all signed documents, and recordkeeping • Handle mailings of original deeds, Financial Advisor documents, Affidavits, or anything tasked to print, process, and mail • Update procedures, templates, etc., when something changes, and train new team members on the above when applicable • Other administrative duties as needed, such as answering the door for meetings and client drop-offs, processing mail, seating guests, etc Qualifications: • The MA Legal Assistant should have a high school diploma, but advanced training at a college or university is preferred • A Legal Assistant should have prior experience in a legal setting and feel comfortable with legal research, writing, and knowledge of relevant laws and regulations • Legal Assistant experience is highly preferred Compensation: $23 - $27 hourly
