The Legal Assistant ensures smooth daily operations by maintaining organized case files, managing attorney calendars, coordinating communications, and preparing the base of legal documents with precision and efficiency using previously approved templates. This person also prepares summary reports for the legal team based on client meetings. This role requires consistency, accuracy, and a proactive attitude. You’ll collaborate closely with attorneys, legal consultants, and administrative staff to ensure that every matter is handled efficiently and that clients receive exceptional service. MAIN TASKS & RESPONSIBILITIES • Legal Administration: Manage electronic case files, ensuring all documents are accurately labeled, filed, and easily accessible. • Scheduling and Coordination: Maintain legal team calendars, schedule meetings and client calls, and coordinate with opposing counsel. • Document Preparation: Draft and format legal correspondence, forms, and simple documents based on pre-approved templates for attorney and legal consultant review. • Filing and Data Entry: Update all contacts and related matter information in Clio Manage (CMS), ensuring all parties have the required documentation for the matter to move forward. • Communication: Serve as a primary point of contact for clients and external partners regarding scheduling and administrative inquiries. Manage the legal team inbox, ensure timely communication, and create tasks for the legal team in productivity software. • Support for Legal Proceedings: Assist attorneys and legal consultants in preparing documentation and information needed for client meetings. • Billing and Records: Record time entries and assist with invoice preparation and tracking. • Quality Control: Ensure all communications and documents meet firm standards for professionalism, accuracy, and confidentiality. • General Support: Perform clerical and administrative duties as assigned. Qualifications: SKILLS & QUALIFICATIONS Education: • High school diploma required. • Associate’s degree or certificate in Legal Studies preferred. Experience: • Minimum of 2 years in a general administrative support, legal secretary, or administrative assistant role within a law firm environment. Technical Skills: • Proficiency in Microsoft Office Suite and case management/project management tools (Clio, Asana, ClickUp, etc). • Strong typing, document formatting, and organizational skills. • Ability to use AI tools to assist in daily tasks. Compensation: $12,000 - $18,000 yearly
