We are a 30-year boutique law firm in Torrance, in the area of South Bay, Los Angeles, with the primary practice areas of Probate, Will, and Trust Estate litigation and trust preparation. We’re seeking a Legal Assistant to support our growing legal team. This is an excellent opportunity for a Legal Assistant seeking to expand their career who is interested in gaining fast-paced professional experience in a small South Bay firm. Responsibilities: • Organize our case filing systems to ensure all documents are properly sorted and easy to locate, and other administrative duties as needed • Handles standard administrative functions, including answering, screening, and placing phone calls; opening and routing mail as directed; managing files, records, attorney calendars, and time records; and preparing attorney expense reports • Proxies into the attorney’s email (if permission is granted) to process new messages, maintain organized email folders on Clio, and keep the attorney apprised of priorities, handling proper filing of emails to Clio folders and doing activity entries for those emails • Anticipates attorney needs by proactively identifying potential issues and conflicts and taking the initiative to offer solutions and preempt needs • Prepares engagement letters and new client/matter memos, and updates active client/matter number lists to assist with the new business process • Utilizes tracking charts for keeping up-to-date records, with a special focus on billing and new business • Works in Clio to ensure up-to-date and accurate client billing. • Deposits and enters checks on Clio • Researches and makes complex travel arrangements for attorneys, including assisting with visa requirements • Prepares check requests for vendor invoices and actively follows up to ensure timely payment • Ensures proper functioning of all software and hardware being used by attorneys, in consultation with technology support staff • Performs responsibilities of other support services when needed, including but not limited to printing, scanning, duplicating, mailing, quality control, and hand-delivering packages • Create shells, type and format a variety of litigation pleadings and discovery documents • Prepare documents for filing and service • Electronically file and serve court documents as required by state, Federal, and local rules • All other duties as assigned or required Qualifications: • Candidates should possess high-level organizational skills, and time-management skills • Must have strong interpersonal skills and talent for writing and grammar • One year of experience in a law firm in an administrative or secretarial role • Each team member is expected to provide professional, efficient, and thoughtful support to the attorneys. Each team member should think critically and use common sense and problem-solving skills while maintaining a positive, professional attitude at work.
