Our busy law firm is seeking a full-time Billing Specialist to support our dynamic financial operations. This role manages the full billing lifecycle—from invoice preparation to payment application—while ensuring accuracy, consistency, and compliance with legal accounting standards. The Billing Specialist will work closely with attorneys, intake, and accounting to keep client accounts current, properly apply payments, and maintain reliable financial data for reporting and forecasting. Responsibilities: Billing & Invoicing • Ensure accurate and timely billing in adherence with the firm's billing cycle • Prepare, review, and issue client invoices in accordance with firm policies • Generate flat-fee, hourly, and hybrid billing statements as applicable • Review billing entries for accuracy, completeness, and compliance • Ensure invoices reflect proper trust vs. operating account allocation Payments & Trust Accounting • Apply client payments accurately (LawPay, credit card, ACH, check, cash) • Monitor trust balances and ensure compliance with IOLTA requirements • Coordinate trust transfers and earned fee withdrawals • Assist with trust reconciliation support and documentation Account Management • Monitor client accounts for outstanding balances • Process client expenses and refunds • Communicate professionally with clients regarding billing questions • Work with attorneys and staff on billing adjustments, credits, or write-offs • Maintain organized billing records and audit trails Support • Assist with the month-end close and reconciliations • Collaborate with upper management to improve efficiency • Assist with collections as needed • Other ad hoc projects as needed Qualifications: • Degree in accounting, finance, business, or a related field and/or a background in accounting, bookkeeping, or billing (legal billing experience a plus, but not required) • Understanding of trust accounting and IOLTA compliance, or the ability to quickly learn these requirements • Strong attention to detail with a high level of accuracy • Well-developed organizational and communication skills • Technologically proficient; familiarity with QuickBooks Online and Microsoft Suite required; familiarity with MyCase is a plus • Ability to work independently, manage priorities, and meet competing deadlines • Can verifiably demonstrate longevity and reliability in prior roles Compensation: $45,000 - $60,000 yearly DOE
