Our busy law firm is seeking a full-time billing specialist to manage the firm's billing lifecycle - from invoice generation through payment application - while maintaining accuracy, consistency, and compliance with legal accounting standards. This role works closely with attorneys, intake, and accounting to ensure client accounts are current, payments are properly applied, and financial data is reliable for reporting and forecasting. Responsibilities: Billing & Invoicing • Prepare, review, and issue client invoices in accordance with firm policies • Generate flat-fee, hourly, and hybrid billing statements as applicable • Review billing entries for accuracy, completeness, and compliance • Ensure invoices reflect proper trust vs. operating account allocation Payments & Trust Accounting • Apply client payments accurately (LawPay, credit card, ACH, check, cash) • Monitor trust balances and ensure compliance with IOLTA requirements • Daily Account Reconciliation • Coordinate trust transfers and earned fee withdrawals • Assist with trust reconciliation support and documentation Account Management • Monitor client accounts for outstanding balances • Process client expenses • Communicate professionally with clients regarding billing questions • Work with attorneys and staff on billing adjustments, credits, or write-offs • Maintain organized billing records and audit trails Reporting & Support • Generate billing and payment reports for firm leadership • Assist with the month-end close and financial tracking • Support budgeting, forecasting, and revenue analysis Qualifications: • 2+ years of office billing experience required, preferably in a law firm setting • Understanding of trust accounting and IOLTA compliance • Strong attention to detail and follow-through • Developed organizational and communication skills • Proficient with technology; Familiarity with Excel and QuickBooks Online required • Ability to work independently and prioritize competing projects Compensation: $25 - $26 hourly
