Legal Bookkeeper & Billing Specialist
We are seeking a detail-oriented and experienced Legal Bookkeeper and Billing Specialist to join our law firm. This full-time role is responsible for managing the day-to-day financial transactions, client billing, and collecting trust and retainer accounting, and financial reporting functions to ensure compliance with legal industry standards and firm policies. Responsibilities: Bookkeeping: • Maintain accurate financial records using accounting software (QuickBooks and Bill 4 Time a plus) • Reconcile bank accounts, including IOLTA/trust accounts, to ensure compliance with bar association regulations • Process accounts payable and receivable • Manage general ledger entries and journal entries • Assist with payroll processing and coordination with payroll vendors (ADP) • Allocation of client payments to appropriate invoices • Allocation of origination percentages for attorneys • Payment of invoices and bills • Make sure invoices are applied to the appropriate clients and matters for reimbursement Billing and collecting: • Prepare, review, and issue client invoices in a timely and accurate manner • Track and apply client payments, retainer balances, and trust account funds • Respond to client billing inquiries and resolve discrepancies • Coordinate with attorneys to ensure billing guidelines and client-specific requirements are met • Assist in the collection of firm receivables Qualifications: • Experience: 3+ years of bookkeeping experience, preferably in a law firm or legal environment • Education: Associate’s degree or higher in Accounting, Finance, or related field (Bachelor’s preferred) • Software Proficiency: Familiarity with legal billing software (e.g., Bill 4 Time or equivalent); QuickBooks or other accounting systems • Skills: • Strong attention to detail and organizational skills • Understanding of trust accounting and legal billing guidelines • Excellent communication and client service skills • Ability to maintain confidentiality and integrity in handling sensitive financial data Compensation: $76,000 - $92,000 yearly
