We are seeking a dedicated and compassionate FT Client Service Associate (CSA) to join our team. This role focuses on matter management, guiding clients smoothly through the estate planning process by managing timelines, communication, and internal coordination. As a CSA, you’ll work closely with the client’s attorney, serving as the main point of contact for updates, follow-ups, and next steps. While the attorney provides legal advice and strategy, the CSA ensures clients feel informed and supported with clarity, empathy, and professionalism. You’ll also collaborate with our estate planning team in a production-line workflow, where multiple team members contribute to each matter. Clear documentation and strong internal communication are essential. We’re looking for someone proactive, detail-oriented, and able to take initiative and work independently in a fast-paced environment. Responsibilities: • Client Communication: Act as the main liaison between clients and the estate planning team, gather pertinent information, and provide timely and clear communication throughout the estate planning process. • Scheduling: Assist in scheduling design meetings and follow-up calls with attorneys as needed. • Drafting Support: Prepare estate planning documents for attorney review and make revisions when needed. • Matter Management: Track client files, follow up on open items, manage timelines, and ensure deadlines are met to keep the estate planning process organized and on schedule. • Team Collaboration: Work closely with other members of the estate planning team to ensure a cohesive, positive, and efficient client experience. • Record Keeping: Maintain accurate records, notes, and progress updates in Airtable and Lawmatics. • Signing Appointments: Attend client signing meetings and complete post-signing tasks such as deed recording and providing funding instructions. • Project Management: Manage timelines, ensure deadlines are met, and maintain organization throughout the estate planning process. • Client Experience Improvement: Continuously seek ways to enhance the client experience through effective communication and support. Qualifications: • Prior experience working with estate planning, a law firm, or financial services setting, or a role that involved managing client files and cases is preferred. • Proven background in client service or client-facing experience. • Excellent verbal and written communication skills. • Proficiency in Microsoft Word with strong formatting and editing skills. • Preferred experience with database/project management software. • Exceptional organizational and project management abilities. • Detail-oriented and conscientious. • Ability to work collaboratively with a team. • Ability to think on your feet and take initiative. • Go-getter with a strong work ethic. • Notary certification or willing to become one (paid by the firm). Compensation: $55,000 - $65,000 yearly
