    Job Description

    The Legal Coordinator will be instrumental in managing administrative tasks, ensuring seamless operations within our real estate legal services. The candidate will work closely with in-house attorneys, real estate team members, outside law firms, and real estate vendors. This role demands a proactive individual with a keen eye for detail and a passion for the legal field.

    Key Responsibilities:

    Invoice Processing and Legal Spend Reporting

    • Manage billing and invoicing for legal services.
    • Facilitate communications with law firms and vendors.
    • Prepare monthly P&L reports, legal spend trackers, and department budget in Excel spreadsheets and Powerpoint presentations for real estate legal team.
    • Manage title, survey, zoning, environmental, and other outside vendors.
    • Contribute to invoice process improvements by leveraging basic accounting knowledge of legal accounting, billing/collections and electronic payment systems.

    Acquisition Support

    • Coordinate wire payments for real estate acquisitions and vendor proposals for due diligence reports.
    • Track deal milestones and due diligence reports.
    • Prepare, organize, and manage real estate legal documents, contracts, and correspondence, including coordination of signature and notary and drafting/editing form legal documents.

    Administrative Support

    • Provide administrative support to attorneys and legal staff, including but not limited to signature collection, document editing and processing, mailing, and filing.
    • Coordinate and schedule meetings and appointments.
    • Maintain and update real estate files, databases and internal tracking reports.
    • Prepare and track project milestones, email reminders and notices.
  • Qualifications

    Qualifications

    • Bachelor's degree in Legal Studies, Business Administration, or related field, preferred.
    • Minimum 3 years relevant experience in a legal administrative or paralegal role; prior real estate experience required.
    • Clear understanding of real estate transactions from A to Z, including but not limited to, working with title companies, title documents, due diligence, closing documents, and settlement statements.
    • Exceptional organizational skills and attention to detail.
    • Superior written and verbal communication abilities.
    • Thorough working knowledge of, and advanced aptitude in, using Microsoft Office Suite (Outlook, Word, Powerpoint and Excel) is required; experience with legal research tools is a plus.
    • Ability to manage multiple tasks and prioritize effectively.
    • Strong interpersonal skills and collaborative mindset.
    • Knowledge of real estate documents and closing procedures is required.
    • Notary public or ability to obtain notary certification.
