The Opportunity
We are seeking a polished, proactive Legal Practice Assistant to support a team of four attorneys within the firm’s Business Litigation practice group, which specializes in real estate-related matters. The group is led by a senior shareholder — a high-performing, client-facing attorney with a significant book of business — alongside three members of the litigation team. This role functions much like a dedicated executive assistant and is ideal for someone who thrives in a fast-paced, professional environment and takes pride in keeping operations running smoothly.
What You’ll Do
- Manage complex calendars and coordinate scheduling across a team of four attorneys
- Serve as a primary point of contact for high-profile clients, maintaining professionalism and discretion at all times
- Draft and prepare engagement letters, correspondence, and other professional documents
- Conduct conflict checks and maintain accurate client and matter records
- Coordinate client gifts, event logistics, and other relationship-management activities
- Support business development efforts, including preparation of marketing pitches and materials
- Manage attorney workflow, anticipate needs, and proactively keep the team on track
- Handle a high volume of administrative tasks with precision and a sense of urgency
What We’re Looking For
- Prior experience as an executive assistant, preferably supporting a senior executive, partner, or high-performing leader in a professional services environment (law firm, financial institution, or similar) or potenial to jump right into the role
- Exceptional attention to detail — typos and errors are not acceptable in this environment
- Strong written and verbal communication skills with the ability to interface confidently with clients and senior professionals
- Polished, professional demeanor with the composure and judgment to represent the team externally
- Proficiency in Microsoft Office Suite; legal software knowledge is not required
- Ability to manage competing priorities with calm efficiency in a high-volume setting
- Experience supporting a results-driven, client-development-focused leader is a strong plus
- A no-drama, solutions-oriented mindset and the reliability to be someone this team counts on
Compensation & Schedule
- Salary: $80,000 – $100,000, commensurate with experience, with room to grow
- Hours: 35 hours per week (New York standard)
- Schedule: Hybrid — 3 days in office per week following onboarding
- Onboarding period: Fully in-office for the first approximately 60 days to ensure a strong acclimation to the team and workflow
