ROLE
Legal File Clerks follow the firm’s filing system to organize and maintain records, including correspondence, pleadings, case documents, invoices, and memoranda. They locate and retrieve requested files; prepare binders, indices, file folders, and labels; and support related clerical projects as needed.
ESSENTIAL DUTIES AND RESPONSIBILITIES
· Prepare binders for trials, hearings, and settlement proceedings as directed by case managers and attorneys.
· Complete projects for case managers and attorneys.
· File physical documents in binders and redwells.
· Save electronic files according to the firm’s file-saving protocol.
· Update file indices (for example, the Physical File Index charts).
· Maintain file structure and perform quality control checks.
· Maintain, track, and coordinate delivery and retrieval of on-site and off-site records.
· Prepare documents for off-site storage.
· Provide receptionist backup as needed (for example, phones and mail processing).
· Scan attorney work product notes.
· Serve as a resource to firm members on office tools and procedures (for example, file saving, faxing, label creation, and similar tasks).
· Locate and deliver documents to attorneys and case managers upon request.
· Run occasional office errands as needed, including package drop-offs, lunch pickup, and purchasing supplies not ordered online.
