    Legal Intake Specialist NY Wills & Estates – New York, NY Schedule: Monday to Friday, 9:00 AM – 6:00 PM (Eastern Time) Compensation: $8/hr + Performance-Based Bonuses Employment Type: Full-Time Location: Remote (must be available during Eastern Time hours) About the Firm NY Wills & Estates serves clients across New York City, including Manhattan, Brooklyn, Queens, the Bronx, and Staten Island, with an additional office in Hackensack, New Jersey. The firm focuses on estate planning, probate, and Medicaid planning, helping individuals and families protect their assets and plan for the future. Services include wills, trusts, powers of attorney, healthcare directives, and Medicaid asset protection strategies. Clients often come to the firm during important and sometimes stressful life moments. The first conversation matters. Role Overview The Russian-Speaking Legal Intake Specialist is the first point of contact for prospective clients. This role is responsible for handling inbound calls, following up with leads, gathering detailed information, and guiding qualified individuals to schedule consultations. This is not a receptionist role. This is a structured, conversation-driven position that requires confidence, empathy, and the ability to guide clients through sensitive topics such as estate planning, probate, and long-term care concerns. You will not provide legal advice. You will follow a defined intake process to qualify leads and ensure accurate information is captured for the legal team. Responsibilities: Core Responsibilities • Answer inbound calls and respond to inquiries promptly • Conduct intake conversations in both Russian and English • Build trust with prospective clients and guide conversations effectively • Gather and document detailed client information with accuracy • Identify qualified estate planning, probate, and Medicaid cases • Schedule consultations and clearly explain next steps • Follow up with leads and manage no-shows • Maintain organized and accurate CRM records • Adhere to firm systems, scripts, and intake processes What Success Looks Like • Professional, empathetic, and structured intake conversations • Accurate and complete client information captured in the CRM • Strong consultation booking rates from qualified leads • Effective follow-up leading to reduced no-shows • Positive experience reported by prospective clients and attorneys Qualifications: Requirements • Fluent in Russian and English (required) • Minimum 2 years of phone-based client-facing experience (intake, sales, or customer service) • Strong communication skills with the ability to control and guide conversations • High emotional intelligence and active listening ability • Comfortable discussing sensitive topics such as aging, finances, and family matters • Detail-oriented with strong organizational skills • Ability to handle a high volume of calls and follow-ups daily • Professional, reliable, and consistent in performance Technical Requirements • Comfortable using CRM systems and tracking leads • Ability to type and take notes in real time during calls • Reliable high-speed internet connection • Quiet, professional home office environment Ideal Candidate Profile This role is ideal for someone who understands that intake is a critical part of a law firm’s growth. You are confident on the phone, structured in your approach, and able to handle emotional conversations without losing control of the interaction. You know how to build trust quickly while staying focused on qualification and next steps. This is not a passive customer service role. Candidates without phone-based experience will not be considered. Compensation: $8 - $9 hourly
