Position Overview The Intake Specialist plays a critical role in the client journey by qualifying leads, enhancing client experience, and supporting business growth. This position is responsible for managing inbound and outbound communications, scheduling case evaluations, and maintaining accurate intake data. The ideal candidate is empathetic, detail-oriented, and thrives in a fast-paced, client-focused environment. • This role owns the front end of the client journey; responding rapidly to inquiries, qualifying potential new clients, and ensuring seamless handoffs to the Sales team. • The Intake Specialist drives revenue growth by converting qualified leads into scheduled consultations and retained clients while delivering an exceptional first impression of the firm. • Success in this position is measured by conversion rates, response time, data accuracy, and client experience metrics. • The ideal candidate is persuasive yet empathetic, highly organized, tech-savvy, and thrives in a fast-paced, performance-driven environment. Responsibilities: • Lead Qualification & Conversion. • Respond to inbound inquiries (phone, email, text) within defined response times. • Conduct structured intake calls to qualify leads based on firm criteria. • Schedule case evaluations with Sales team members. • Follow up with unretained PNCs to maximize conversion opportunities. • Proactively conduct outbound follow-up to warm leads. • Outcome: Increased scheduled consultations and improved lead-to-retained-client conversion rates. Client Experience & Relationship Management • Deliver a warm, professional, and empathetic first interaction. • Clearly explain the next steps and process expectations. • Ensure clients feel heard, informed, and confident in choosing the firm. • Outcome: High client satisfaction and strong first-impression brand impact. CRM & Data Integrity • Maintain accurate and detailed records of all client interactions. • Track follow-ups, status changes, and conversion stages. • Ensure zero data loss and clean CRM reporting. Qualifications: REQUIRED QUALIFICATIONS • High school diploma required; advanced training or college education preferred. • 1+ years of experience in customer service, client relations, or a similar fast-paced environment. • Experience in legal services or professional services preferred. • Familiarity with Clio, HubSpot, and/or similar CRM platforms preferred. • Experience using call communication platforms such as AirCall. • Proven ability to convert leads through persuasive and empathetic communication. • Proficiency in Microsoft Outlook and calendar management. Compensation: $18 hourly
