The Intake Specialist is a full-time, in-office position that plays a critical role in the client journey as the first point of contact for prospective clients. This role is responsible for creating a strong first impression, guiding individuals through their initial inquiry, and helping them take the next step toward engaging the firm. The ideal candidate demonstrates empathy, professionalism, strong organizational skills, and excellent communication abilities. They are confident managing conversations, building rapport with prospective clients, and effectively guiding them toward scheduling consultations while delivering an exceptional client experience. Responsibilities: • Serve as the first point of contact for prospective clients via phone, email, and online inquiries • Conduct intake calls to understand client needs, gather key information, and determine appropriate next steps • Schedule consultations and ensure prospective clients are prepared and informed prior to their appointment • Maintain accurate and detailed records in the firm’s CRM system • Follow up with prospective clients in a timely and professional manner • Manage multiple inquiries simultaneously in a fast-paced environment • Collaborate with attorneys and internal teams to ensure a seamless onboarding experience • Handle sensitive or emotional situations with professionalism, empathy, and discretion • Contribute to a positive client experience that reflects the firm’s values of integrity, teamwork, compassion, and passion Qualifications: • Associate or Bachelor’s degree preferred • 1–3 years of experience in customer service, intake, administrative support, or call-center roles • Strong verbal communication and active listening skills • Highly organized with strong attention to detail and data accuracy • Ability to manage multiple priorities and conversations simultaneously • Comfortable working in a fast-paced, client-facing environment • Experience using CRM systems (Lawmatics, HubSpot, or similar) preferred • Experience in a legal or professional services environment is a plus Compensation: $20 - $22 hourly
