The Intake Specialist plays a critical role in the client journey as the first point of contact for prospective clients. This position is responsible for creating a strong first impression, guiding individuals through their initial inquiry, and helping them take the next step toward engaging the firm. This role requires a balance of empathy, organization, and communication, along with the ability to confidently manage conversations and move prospective clients toward scheduled consultations. Responsibilities: • Serve as the first point of contact for prospective clients via phone, email, and online inquiries • Conduct intake calls to understand client needs, gather key information, and determine appropriate next steps • Schedule consultations and ensure prospective clients are prepared and informed prior to their appointment • Maintain accurate and detailed records in the firm’s CRM system • Follow up with prospective clients in a timely and professional manner • Manage multiple inquiries simultaneously in a fast-paced environment • Collaborate with attorneys and internal teams to ensure a seamless onboarding experience • Handle sensitive or emotional situations with professionalism, empathy, and discretion • Contribute to a positive client experience that reflects the firm’s values of integrity, teamwork, compassion, and passion Qualifications: • Associate or Bachelor’s degree preferred • 1–3 years of experience in customer service, intake, administrative support, or call-center roles • Strong verbal communication and active listening skills • Highly organized with strong attention to detail and data accuracy • Ability to manage multiple priorities and conversations simultaneously • Comfortable working in a fast-paced, client-facing environment • Experience using CRM systems (Lawmatics, HubSpot, or similar) preferred • Experience in a legal or professional services environment is a plus Compensation: $20 - $22 hourly
