We are seeking a highly motivated and experienced Legal Operations Assistant to join our team. This person will play a vital role in supporting legal operations, including billing, scheduling, client follow-up, and administrative systems. This is not an entry-level role — we want a seasoned professional with prior experience supporting service-based businesses, preferably law firms, corporate legal departments, or professional services teams. Responsibilities: WHAT YOU'LL BE RESPONSIBLE FOR Client Billing & Financial Operations Prepare, review, and send client invoices Track accounts receivable and follow up with clients in a professional manner Enter billing and financial data accurately into case management systems Process vendor invoices and coordinate internal bill payments (with proper approvals) Scheduling & Coordination Manage complex attorney calendars with multiple stakeholders and time zones Schedule client meetings, calls, and internal events with precision Maintain calendar accuracy in Microsoft Outlook Client Relations & CRM Follow up with potential new clients (PNCs) via email and CRM Keep CRM records up to date and ensure clean client/matter data Provide high-touch administrative support that enhances client satisfaction Operational Excellence Organize SharePoint files and maintain digital records Assist with reporting, task coordination, and workflow optimization Support process improvement initiatives across the firm Qualifications: WHAT WE'RE LOOKING FOR Required 3+ years supporting law firms, corporate legal operations, or professional services Excellent written and spoken English (professional fluency) Strong organizational skills, attention to detail, and accuracy Comfortable working with SOPs and structured workflows Experience with Microsoft 365, Outlook, and cloud platforms Strong client communication and follow-through Nice to Have (NOT Required) Experience with legal or professional services CRM systems Experience with billing/financial entry in practice management software Compensation: $22 - $28 per hour
