We are seeking a reliable, detail-oriented, and organized individual to join our team in a multi-functional role supporting reception, file management, and accounts payable operations.

    Position Overview

    This position serves as the first point of contact for our firm while also providing essential administrative support. The ideal candidate is personable, highly organized, and capable of managing multiple priorities with accuracy and professionalism.

    Key Responsibilities

    Reception Duties

    Greet and assist clients and visitors in a professional and welcoming manner

    Answer and direct incoming phone calls

    Manage incoming and outgoing mail and deliveries

    Maintain a clean and organized front office area

    File Clerk Duties

    Organize, maintain, and update physical and electronic filing systems

    Scan, upload, and properly categorize documents

    Retrieve and distribute files as requested by attorneys and staff

    Ensure confidentiality and proper handling of sensitive documents

    Accounts Payable Duties

    Process vendor invoices and ensure proper coding and approvals

    Prepare and issue payments (checks, ACH, etc.)

    Maintain vendor records and resolve discrepancies

    Assist with monthly reconciliations and reporting

    Qualifications

    Previous experience in a law firm or professional office preferred

    Experience with accounts payable or basic accounting is a plus

    Strong organizational and multitasking skills

    Excellent verbal and written communication skills

    Proficiency in Microsoft Office (Word, Excel, Outlook)

    Ability to handle confidential information with discretion

    Detail-oriented with strong problem-solving skills

    Preferred Skills

    Familiarity with legal management software (e.g., Coyote, or similar)

    Experience with document management systems

    Basic understanding of accounting principles
