Reception / Guest Services Ambassador
Job Summary
The Reception / Guest Services Ambassador plays a key role in delivering exceptional guest experiences, creating a welcoming and professional environment. This position is responsible for ensuring top-tier reception and concierge services for employees, business clients, community members, and interview candidates. The Ambassador will be the first point of contact and contribute to maintaining the organization's reputation for outstanding guest service.
Shift: 9:00am - 6:00pm; hour unpaid lunch
Pay Range: $29.00 - $30.00/hr
Key Responsibilities
Core functions include:
Greet guests with enthusiasm, anticipate their needs, and assist with their arrival, office orientation, and departure—always responding promptly and with a positive, friendly attitude.
Create memorable, positive experiences by offering a warm, welcoming personality.
Support the Hospitality team with meetings, events, and setups, ensuring a seamless guest experience.
Oversee visiting office setups, attending to special requests and guest needs to ensure satisfaction.
Take initiative in addressing guest needs and inquiries proactively, offering assistance as required.
Share your knowledge of the office, local area, and available services, creating an environment where guests feel welcome and productive.
Collaborate with team members to communicate guest service trends and contribute to developing best practices and efficient processes.
Manage multiple tasks efficiently in a fast-paced environment, with meticulous attention to detail.
Demonstrate professionalism, confidence, and a high level of customer service, responding effectively to both guests and staff.
Additional Responsibilities Include :
Track and manage all visitor logs, including vendors, employees, and other guests.
Oversee parking and vehicle logs, ensuring accurate records.
Coordinate security access cards for employees and vendors.
Welcome event guests and assist with issuing visitor badges.
Support employee onboarding and offboarding processes by ensuring smooth transitions for all involved.
Manage incoming and outgoing courier deliveries and packages.
Support annual management goals by tracking and accomplishing key performance indicators.
Handle various facilities-related tasks and ad hoc assignments as needed.
Qualifications :
Experience : A minimum of 3-5 years in law firm reception or a service-related role.
Flexibility : Ability to adapt to shifting priorities and handle high volumes of guests with a positive attitude.
People-Oriented : Passionate about creating exceptional experiences for others.
Communication Skills : Strong verbal and written communication skills, with the ability to engage professionally and enthusiastically with guests.
Multi-Tasking : Skilled at managing multiple tasks at once while ensuring accuracy and a high standard of guest service.
Technology Proficiency : Comfortable using various information technology tools and platforms.
Physical Ability : Capable of performing minimal physical tasks such as carrying small packages.
