We are seeking a detail-oriented legal records specialist who can retrieve files for our attorneys and paralegals quickly and efficiently and keep accurate records of the location of the files and their contents. Our ideal candidate will adhere to our retention policy regarding the proper handling of paper and electronic records and manage our expansive database of documents. Responsibilities: Records Management & Policy Development • Draft and maintain comprehensive records retention and disposition policies. • Oversee the classification and indexing of both physical and electronic records. Data Entry & Database Administration • Accurately input data—document type, retention schedule, location—into the records system. • Collaborate with IT/Shareholder to optimize electronic document and records management system functionality and reporting. File Review & Lifecycle Management • Regularly audit files and recommend retention, archiving, or destruction according to policy. • Coordinate secure shredding or long-term archival transfers. Compliance & Legal Support • Ensure adherence to laws and regulations (e.g., data privacy, state bar, FOIA). • Manage litigation holds, discovery requests, and audit responses. Training & Staff Collaboration • Prepare and deliver training for firm staff on records policies. Reporting & Analytics • Generate routine and ad hoc reports on retention schedules, storage use, and purge logs. • Track metrics to support records management decisions. Vendor & Off-site Coordination • Manage contracts for off-site storage, scanning, or document destruction vendors. Qualifications: Education: • High school diploma or GED (required). • An associate's or bachelor's degree in information management, Library Science, IT, or related fields is preferred. Certifications (Strongly Preferred): • Certified Records Manager (CRM) or Records & Information Certification. Experience: • Minimum of 1–2 years in legal records management, paralegal roles, or legal project coordination. Supervisory experience is a plus. Technical Proficiency: • Experience with electronic document and records management systems (EDRMS). • Comfortable with MS Office, databases, metadata standards, and file imaging/scanning. Legal & Regulatory Knowledge: • Familiarity with confidentiality, data privacy, retention obligations, and litigation support (including holds). Soft Skills: • Exceptional attention to detail, organizational acumen, and analytical thinking. • Effective communicator with the ability to train staff and liaise across teams. Additional Abilities: • Ability to develop and refine policies and procedures. • Project management skills for system implementations and audits. • High integrity and ability to maintain confidentiality.
