Job Summary
Dotson, Hayward & Vance seeks a dependable, professional Legal Support Staff person to provide front-desk reception, general clerical support, records and filing management, and basic secretarial assistance. The successful candidate will be the first point of contact for clients and visitors, will help maintain office organization and case files, and will perform secretarial legal tasks under attorney supervision.
Key Responsibilities
Reception and Client Contact
Greet clients and visitors courteously and professionally.
Answer, screen, and route incoming telephone calls and emails.
Schedule and confirm client appointments and attorney calendars.
Receive and direct deliveries and incoming mail.
Clerical and Office Administration
Maintain organized physical and electronic filing systems.
Copy, scan, fax, and assemble documents and exhibits.
Prepare and mail routine correspondence and client letters.
Order office supplies and coordinate routine vendor services.
Run monthly reports.
Maintain conference rooms and public areas in a professional condition
Document and Case Management
Open, index, and close client files according to office procedures.
Track key deadlines and assist with simple calendaring tasks.
Prepare basic pleadings, correspondence, affidavits, and forms using templates.
Electronically file documents with courts and agencies, where permitted, under supervision.
Assist with organizing discovery, exhibits, and trial binders.
Required Qualifications
High school diploma or equivalent; associate degree preferred.
Previous experience is favored, preferably in a legal or professional services environment. Entry level candidates with strong administrative skills will be considered.
Professional phone manner, strong interpersonal skills, and client service orientation.
Strong verbal and written communication skills.
Highly organized with document management experience.
Proficiency with Microsoft Office applications, including Word, Outlook, and Excel.
Ability to multitask and work well under pressure.
Ability to prioritize tasks, manage multiple assignments, and meet deadlines.
Attention to detail and high level of accuracy.
Ability to maintain strict confidentiality and handle sensitive information.
Reliable transportation to and from the Reno office.
Preferred Qualifications
Experience with legal case management software and electronic court filing.
Familiarity with local court rules and basic legal procedures.
Bilingual skills (English and Spanish) are a plus.
Working Conditions and Physical Requirements
Work is performed primarily in an office environment.
Requires prolonged periods of sitting, frequent use of computer and telephone.
Occasionally required to lift and carry office materials up to 25 pounds.
