    JOB DESCRIPTION JOB TITLE:                      Marketing Technology Platform Global Administrator DEPARTMENT:              Marketing Communications REPORTS TO:                 Global Digital Marketing Director FLSA STATUS:                Exempt PREPARED DATE:          June 22, 2022 SUMMARY:  This position will manage multiple regional teams dedicated to ensuring that we are maximizing efficiency and capitalizing on the full features and benefits of the system based on the various user group and regional needs. Must have excellent technical and communication skills to interface directly with internal stakeholders to understand their needs in order to administer and enhance the system accordingly. This person will serve as the global "go to" for regional administrators, users, promote adoption, keep current on new releases and solutions add-ons such as AppExchange, provide training, and more. Additionally, the MTP Global Administrator will ensure basic updates, such as add/delete users, and adding basic custom fields are completed in a timely manner    JOB RESPONSIBILITIES: CREATE AND MANAGE CHANGES TO THE SYSTEM -

    • Proactively seek out and identify needed system changes.

    • Proactively gather feedback from users in all regions (US, Japan, China, Taiwan, India, Europe).

    • Manage system changes without interruption to the users.

    • Communicate system changes to the users in advance so they understand the change and how to use it prior to implementation.

    • Gather requirements from end users.

    • Modify the system to increase benefits and usability.

    • Own the corporate governance for change control processes and establish a new “SFDC Governance” Committee.

    • Establish a process that no fundamental system changes are implemented without your approval

    • Manage all processes that impact / relate to Salesforce.com.

    • Manage new releases of SFDC and Marketo then efficiently roll out new features.

    • Create and maintain fields, views, reports, dashboards, campaigns and other salesforce.com objects and functions.

    • Create custom objects when necessary.

    • Handle on-going customization/ alteration of Salesforce.com.

    • Maintain, enhance and create workflows, functions and configurations within the Salesforce.com environment.

    • Create new reporting capabilities and respond to ad hoc reporting requests as needed.

    • Provide support functions as needed.

    • Provide sales and financial data to company executives.

    • Maintain System, Security and Integrity -

    • Map salesforce.com hierarchy and territories in response to personnel changes.

    • Reassign Accounts, Contacts, and Opportunities in response to personnel changes.

    • Grant/ remove and maintain user licenses.

    • Maintain security including sharing rules and security levels.

    • Design, Create and maintain user roles, profiles and hierarchies.

    • Monitor application storage usage and archive data as needed.

    • Application technology stack includes Salesforce, Marketo and Mulesoft

    USER ASSISTANCE, TRAINING, ADOPTION AND SATISFACTION -

    • Create and administer training to existing or new users/groups.

    • Provide one to one training to end users on an on-going basis.

    • Expand use of Salesforce.com – attend planning meetings, assist with determining if/how salesforce.com can be used in new ways as opposed to purchasing a new internal system.

    • Assist sales management to create processes in salesforce.com to help monitor activities, trends, sales and leads.

    • Lead the global user group (IDEC-SFDC-GLUG) to communicate regularly with user base regarding new features, enhancements and changes to the system.

    • Monitor usage and mentor users/groups needing assistance.

    • Continually seek ways to further enhance the end-user experience.

    • Be the company global subject matter expert on all things Salesforce.com.

    PROCESS CREATION, DOCUMENTATION AND MAINTENANCE -

    • Document company processes and workflows.
    • Develop process documentation and field maps.
    • Create new processes and associated reporting.

    DATA QUALITY, MIGRATION AND MAINTENANCE -

    • Assist with migration from older systems/processes into Salesforce.com.
    • Monitor neglected Leads, Opportunities, Accounts, and Contacts as appropriate.
    • Import data as appropriate.
    • Monitor and manage exception logs for back end system integration with SFDC.
    • Manage duplicate records.
    • Monitor and improve data quality.
    • Ensure data integrity by merging duplicate Leads, Contacts, and Accounts; performing mass uploads and updates of data as required; Removing unnecessary fields and data; ensuring screens, fields and workflow have accurate names and reflect current workflow.

    REPORT AND DASHBOARD CREATION AND MAINTENANCE -

    • Create and maintain dashboards.
    • Create and maintain reports including folder maintenance.
    • Develop complex, macro driven reports to summarize system information for Senior Management.
    • Build and manage report folders for reps to improve sales efficiency.

    EMAIL MARKETING & CMS EXPERTISE -

    • Solid understanding and knowledge of content management systems to create and organize content pages, assets and forms for web site visitors.
    • Support email marketing campaigns by segmenting lists, conducting A/B tests to monitor email performance and report KPIs.
    • Conversion rate optimization by using data analysis skills and knowledge of company products to ensure the sales team’s conversion rate is as high as possible.

    ESSENTIAL REQUIREMENTS: The system administrator needs a solid understanding of the organization’s business. They must have solid Salesforce.com skills (SFDC) and ideally, understand the general concepts of Customer Relationship Management (CRM). Most importantly they should be proactive, organized and logical. QUALIFICATIONS: A Bachelor’s degree in communications, marketing, or a related business field with at least 5 years of Marketing Communications or Marketing experience.  Individual must be highly organized with proven time management and prioritization skills with ability to respond to changes in process, responsibility, or assignment quickly without losing sight of the overall goals.  They must possess detailed knowledge in traditional marketing, plus digital marketing in digital media and social media venues is plus, but not required.  A track record of successfully managing vendors and agencies, overseeing integrated marketing campaigns. Meticulous attention to detail, and the ability to work independently and within a team environment.  Solid understanding of sales and business processes. Willingness to travel up to 10% of the time.  LANGUAGE SKILLS: Ability to read, analyze, and interpret the most complex documents.  Ability to respond effectively to the most sensitive inquiries or complaints. MATHEMATICAL SKILLS: Ability to calculate figures and amounts such as ratio, fractions, and percentages.  Ability to apply concepts of basic algebra and geometry. REASONING ABILITY: Ability to define problems, collect data, establish facts, and draw valid conclusions.  Ability to interpret an extensive variety of technical instructions in mathematical or diagram form. WORK ENVIRONMENT: The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. Location is preferred to be near Sunnyvale, CA or San Diego, CA or Chicago, IL offices. Remote work is possible since this role will require supporting global teams.
