    Firm Administrator

    Located in downtown Seattle the Firm Administrator is a management level position playing an integral part in the success of the firm by working closely with partners on firm-wide policy setting, problem solving and decision making.

    Our client has engaged us to help find the person who encompasses a wide range of activities with involvement in all phases of administration, personnel, finances, facilities and marketing efforts. The administrator is responsible for planning, organizing, directing, and controlling the day-to-day operations of the firm, its affiliates, and for directing the implementation of firm policies. To be successful, the administrator should possess strong collaboration skills and an ability to assimilate and integrate.

    Essential Functions:

    • Management of business operations including HR, Accounting, IT, Administration and Facility Management
    • Performs controllership function is for the firm, including monitoring cash flow and accounts receivable with collection of overdue accounts
    • Supervises internal accounting functions and procedures, including preparation of financial statement, budget formulation and practice management reports as requested
    • Collaborate closely with Managing Partner maintaining professional and support staffing levels while helping to set strategic business goals
    • Supervises office maintenance, analyzes space utilization and acts as a liaison with contractors providing office equipment and building support
    • Responsible for full scope of client management system, including processes for onboarding new clients, maintenance of client information, filing system for client documents and invoicing for client services
    • Standardizes office procedures, systems, and forms. Recommends system revisions and provides training to firm personnel as needed

    Requirements:

    • Previous experience in administrator role at a professional services firm with a minimum of 5 years experience
    • Bachelor's degree in business related field
    • Proficient in Quickbooks and Microsoft products
    • Excellent communication, organizational, and interpersonal skills
