  • Responsibilities

    Deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. In addition to typing, filing and scheduling, performs duties such as coordination of meetings and parties, obtaining supplies, coordinating direct mailings, and working on special projects.   Answers non-routine correspondence and assembles highly confidential and sensitive information. Independent judgment is required to plan, prioritize and organize diversified workload, recommends changes in office practices or procedures.

     The front desk receptionist performs routine clerical, secretarial and administrative work in answering telephones, receiving the public, providing customer assistance, data processing, and record-keeping.

     

    Major responsibilities:

    • Greets visitors arriving in main lobby and contacts appropriate internal personnel as required.
    • Answers and directs all incoming calls, may take messages where necessary.
    • Receives and logs UPS. USPS, mail and FedEx deliveries.
    • Maintain and distribute internal telephone lists for all departments along with floor plans.
    • Maintains the lobby to keep it tidy and neat for visitors and OSI Staff.
    • Performs mail room services.
    • Participate on the Critical Incident Management Team
    • Administers service awards program, preparing and order awards along with planning and coordinating retirement and celebration parties.
    • Liaison between maintenance and security
    • Maintains office supply inventory, through ordering and ensuring the office supply room is stocked.
    • Assists in the ordering of new Federal and State Labor Law poster compliance as needed.
    • Handle all new hire/organizational/promotional announcements on the intranet and posting on boards.
    • Prepares outgoing mailings for, but not limited to, Treasury, Cobra Notices, On-Cor, and others that arise.
    • Perform other duties as assigned.

    Required Skills

    • Two years of increasingly responsible related experience, or any equivalent combination of related education and experience.
    • High School Diploma
