Administrative Assistant to the Office Administrator
Job Description
The Lewis Brisbois Denver office seeks an Administrative Assistant to assist the Office Administrator. This individual will be responsible for administrative functions including answering phones and screening calls, scheduling meetings, internal and external correspondence, arranging and overseeing office events, conference room calendar management, receiving visitors, general office duties, preparing meeting materials, and other duties as assigned. Works collaboratively with Firm Management and Office Administration teams. RESPONSIBILITIES/QUALIFICATIONS: • Work closely with the Office Administrator as a liaison to the office, including preparing/handling various reports, projects, and special assignments as requested by the Managing Partner, Administrative Partner, and Office Administrator • Provide assistance with client development requests as requested by the Marketing Department, including coordination and management of local client seminars, and other business development events; serves as a liaison and local resource to firm marketing • Event planning for office events, including potlucks, annual holiday luncheons, etc. • As directed by the Office Administrator, support HR function by assisting with interview scheduling, employee onboarding/offboarding, organizing onboarding documentation • Set up weekly, monthly, and quarterly staff meetings including booking a conference room and assisting with organizing any materials needed for the meeting • Maintain office personnel logs, birthday calendars, phone lists, floor maps, etc. • Maintain electronic database with up-to-date office policies, procedures, manuals, etc. • Work with the firm’s Information Governance Department regarding the creation of Ethical Walls, as needed • Provide back-up assistance as needed to Receptionist and other Office Services staff, ie mailings, printing projects, answering front desk phones, assisting office visitors • Serve as a liaison to local property management and coordinates maintenance/repair with local property management/outside services • Must have experience with Microsoft Office, particularly Outlook and Word • Experience with Adobe Acrobat a plus • Strong organizational skills with the ability to multi-task • Must demonstrate an ability to work independently, knowing when to consult with others • Must be accurate, punctual, and reliable • Must display strong interpersonal skills • Handle confidential information and keep it confidential EDUCATION AND EXPERIENCE: High school diploma or equivalent required. 1-3 years of experience performing administrative work in an office environment. Previous legal experience a plus. SALARY RANGE: $38K-$45K Benefits include medical, dental, vision, long-term disability, and 401k.
