This role requires someone who can: • Follow SOPs and checklists consistently • Meet deadlines without reminders • Produce accurate work with minimal rework • Maintain clean, complete, compliant files Great Fit For Someone Who… • Naturally double-checks details before submitting work • Enjoys structured workflows and organized systems • Catches issues before they become problems • Wants to build a long-term career in transaction coordination You’ll Love This Role If… • You’re detail-oriented, and accuracy matters to you • You’re comfortable working under deadlines • You like checklists, structured systems, and clean files This Role Is Not a Fit If… • You dislike detailed admin work • You often miss deadlines or small details • You prefer unstructured work without processes Responsibilities: • Manage administrative aspects of real estate transactions from pre-contract to closing • Prepare and draft representation agreements, offer templates, and supporting documents • Track timelines, deadlines, and transaction milestones with strong follow-through • Enter and manage listing data in MLS and maintain accurate CRM updates • Schedule inspections, photography, and other transaction-related appointments • Collect, organize, upload, and maintain transaction documents for compliance • Forward documentation to brokers for file compliance and maintain well-organized digital files • Communicate professionally with agents, clients, lenders, title companies, and vendors • Proactively identify missing items, errors, and issues before they become problems Qualifications: • Active Texas Real Estate License is required • 3+ years of experience in transaction coordination or real estate administration • Ability to work nights/weekends on an alternating schedule • Strong organizational, time management, and multitasking skills • Excellent verbal and written communication skills with a customer-first mindset • High attention to detail with strong problem-solving ability and follow-through • Typing speed and written accuracy are essential • Proficiency with MLS and transaction/CRM systems (Dotloop, Skyslope, Jointly, Salesforce, etc.) • Motivated, proactive, dependable, and service-oriented • Education: High school diploma/GED required; some college coursework preferred Compensation: $22 hourly DOE
