    Job Description

    The Office Manager has overall responsibility for the setup and management of Authentic Gaming first US Studio. The overall objective of the role is role managing the facilities operations with accountability for the provision of a safe and secure working environment for employees and customers.  We are looking for a person who will make everyone part of the Authentic Gaming family and make coming to work fun and enjoyable.  

    Key Responsibilities  

    • You are the first person our Game Presenters, Office staff and Customers. We want to greet our visitors and welcome to the Authentic Gaming Family by delivering a world-class service.  

    • Overseeing general workplace operations of Dynamic office and Live Studio Operation. 

    • To trouble shoot any office issues such as food deliveries, parking, lockers and general responsibility for the building and workspace.  

    • Working with catering contractors, vendor machine suppliers, food trucks to ensure day to day hospitality coordinated and free issue supplies are maintaining proper stock levels in a 24/7 business. 

    • Manage to a budget and evaluate supplier performance 

    • Provide a welcoming environment for the Authentic Gaming family all employees and customers 

    • Track visitors and inform the host of their visitor’s arrival. This is a highly regulator environment and strict detailed records need to be kept.  

    • Manage visitor sign in in a highly regulated environment

    • Manage H&S  with the support of our corporate Facilities team 

    • Transport and accommodation management for our visiting and local teams.   

    • Manager security passes for employees in tandem with Chicago security team  

    • Manage space book software & Outlook meeting room calendar which monitor office occupancy and meeting rooms throughout the day. 

    •  Setting up and clearing of meeting rooms. 

    • Responsible for the upkeep and refreshment stock (including tea, coffee sugar biscuits etc.) of guest fridge and guest tea station. 

    • Take receipt of all post and parcels in and out of the building. As well as manage the sorting and delivery of post. 

    • Arrange domestic and international couriers. 

    • Support and project manage small projects 

    • Support senior managers with a limited amount support as a Personal Assistant. Expenses, travel and transport.

      

     

  • Qualifications

    Knowledge, Skills & Experience 

    1. 5+ years of related experience in and a proven track record of facilities management on a multi-site level 

    2. Excellent communication and interpersonal skills. 

    3. Good IT literacy skills in MS Outlook, Word Excel, and PowerPoint. 

    4. Must be organised, able to work on own initiative with a proactive and flexible attitude. 

    5. Able to multitask and priorities.and able to liaise with all levels of internal and external customers.  

    6. Strong evidence of effective management of vendors, and projects
