  • Responsibilities

    Professional Search Group – OC has partnered with a respected law firm to identify and hire a skilled Litigation Assistant. This role is an integral part of the legal team, providing advanced administrative and litigation support to attorneys and assisting with the day-to-day management of cases. The Litigation Assistant will also serve as a point of contact for both internal staff and clients, ensuring smooth coordination and timely delivery of legal services.

    Key Responsibilities

    • Maintain and organize case files—both physical and electronic—including document uploads, keyword searches, updates, and quality control.
    • Draft templates and preliminary documents such as pleadings, motions, discovery, declarations, and proposed orders.
    • Prepare and submit filings with state and federal courts, including e-filings.
    • Manage calendars for hearings, deadlines, and other case-related events.
    • Assemble binders for depositions, mediations, hearings, and trials.
    • Coordinate logistics for depositions, mediations, arbitrations, and other proceedings.
    • Edit, format, proofread, and finalize legal correspondence, memoranda, and reports with strong attention to detail.
    • Redline documents to ensure accuracy in grammar, punctuation, and formatting.
    • Assist with billing processes, including time entry edits, reviewing proformas, and coordinating with the billing team on invoices.
    • Support attorneys daily by anticipating needs, suggesting process improvements, and ensuring workflow efficiency.
    • Handle additional administrative duties as assigned.

    Qualifications

    • Minimum of 4 years of legal secretary experience, with at least 3 years supporting litigation practices.
    • Bachelor’s degree preferred.
    • Proficiency with Microsoft Office Suite (Word, Outlook, Excel) and experience with document management systems such as iManage or ProLaw.
    • Familiarity with court filing requirements at both the state and federal levels.
    • Strong organizational skills, ability to multitask, and proven attention to detail.
    • Excellent communication skills, both written and verbal.
    • Ability to build effective working relationships across teams and maintain confidentiality.
    • Must be able to type accurately and quickly.
    • Background check required.

    Physical & Work Environment Requirements

    • Frequent sitting, computer use, and handling of documents.
    • Occasional bending, reaching, and lifting up to 15 lbs.
    • Standard office environment with moderate noise and occasional interruptions.
