  • Responsibilities

    The Legal Administrative Assistant will provide essential support to attorneys and staff, ensuring that legal operations run smoothly and efficiently. This position blends high-level administrative duties with legal support tasks, serving as a key partner in delivering timely and accurate service within a dynamic boutique law environment.

    Key Responsibilities

    • Serve as the point of contact between attorneys, clients, courts, and vendors, handling both inbound and outbound communications with professionalism.

    • Prepare, format, proofread, and edit legal documents such as correspondence, pleadings, motions, court forms, and internal memoranda.

    • Manage attorney calendars, coordinating court dates, client meetings, hearings, depositions, and other critical appointments.

    • Process and file documents with courts or administrative agencies as necessary, ensuring adherence to deadlines, formatting, and procedural compliance.

    • Organize and maintain digital and physical filing systems, ensuring documents are accurately labeled, archived, and easily retrievable.

    • Conduct detailed billing support tasks, including preparing time entries, expenses, and billing drafts for attorney review.

    • Assist with onboarding new colleagues by coordinating workspace setup, digital access, and administrative orientation.

    • Support special projects such as event planning, client development initiatives, or process improvement efforts.

    Qualifications & Skills

    • A minimum of one to three years of administrative or legal support experience, ideally within a law firm or professional services environment.

    • Proficiency with Microsoft Office (Word, Outlook, Excel) and within electronic filing and document management systems.

    • Excellent written and verbal communication skills, attention to detail, and a polished, professional demeanor in all interactions.

    • Strong organizational skills, with the ability to balance multiple tasks and deadlines in a fast-paced, collaborative setting.

    • Discretion and integrity in handling sensitive client and firm information.

    • Self-motivated, team-oriented, reliable, and adaptable to evolving workflows.
