The Legal Administrative Assistant will provide essential support to attorneys and staff, ensuring that legal operations run smoothly and efficiently. This position blends high-level administrative duties with legal support tasks, serving as a key partner in delivering timely and accurate service within a dynamic boutique law environment.
Serve as the point of contact between attorneys, clients, courts, and vendors, handling both inbound and outbound communications with professionalism.
Prepare, format, proofread, and edit legal documents such as correspondence, pleadings, motions, court forms, and internal memoranda.
Manage attorney calendars, coordinating court dates, client meetings, hearings, depositions, and other critical appointments.
Process and file documents with courts or administrative agencies as necessary, ensuring adherence to deadlines, formatting, and procedural compliance.
Organize and maintain digital and physical filing systems, ensuring documents are accurately labeled, archived, and easily retrievable.
Conduct detailed billing support tasks, including preparing time entries, expenses, and billing drafts for attorney review.
Assist with onboarding new colleagues by coordinating workspace setup, digital access, and administrative orientation.
Support special projects such as event planning, client development initiatives, or process improvement efforts.
A minimum of one to three years of administrative or legal support experience, ideally within a law firm or professional services environment.
Proficiency with Microsoft Office (Word, Outlook, Excel) and within electronic filing and document management systems.
Excellent written and verbal communication skills, attention to detail, and a polished, professional demeanor in all interactions.
Strong organizational skills, with the ability to balance multiple tasks and deadlines in a fast-paced, collaborative setting.
Discretion and integrity in handling sensitive client and firm information.
