The Medical Records and Administrative Assistant plays a vital role in supporting our litigation department by coordinating medical record management, maintaining case documentation, and ensuring seamless administrative support for Litigation Case Managers, Paralegals, and Attorneys throughout the life of each litigation case.
Duties/Responsibilities:
Prepare Medical Summaries.
Review, organize, and bates label records and bills.
Independently review and report to case managers missing records and bills; identify problematic medical issues.
Schedule and coordinate depositions, medical professional phone conferences, mediations, and client meetings as directed
Understand lien information and balance verification principles to effectively communicate with team members.
Obtain lien information in a timely manner, manage bill reduction requests as directed by case managers, handle other lien and subrogation duties as knowledge base expands.
Assist with coordination and service of supplemental discovery production.
Download, label and organize records and bills to client files as needed.
Request/follow up on outstanding requests of medical records and bills from medical providers and Trio as needed
Receive files from pre-litigation, evaluate the file for litigation department needs and work with case managers to complete necessary tasks
Anticipate and manage routine tasks for Case Managers and Paralegals without supervision with high degree of accuracy
Create and follow a system for following up on assigned tasks through completion
Complete copying, scanning, mailing, filing and other administrative projects for litigation department (as needed)

Education and Experience Requirements:
High school diploma or equivalent required. Associate's degree in legal studies or related field preferred.
At least 1 year of experience in a legal, medical billing, or records management setting required.
Proficiency in Needles, Litify, GrowPath, Filevine, or other similar Case Management System (CSM)
Proficient in utilizing Microsoft Office Suite
