    Reports to: President Department: Sales Support / Front-End Operations Location: 9140 Arrowpoint Blvd STE 130 Employment Type: Full-Time

    Role Overview

    The Loan Officer Assistant plays a critical role in creating a clean, efficient bridge between Sales and Operations. This position is responsible for supporting a group of Loan Officers on the front end of the loan lifecycle, ensuring that pre-approvals and sold loans are properly documented, accurately structured, and fully scrubbed before being handed off to Processing.

    This is not a processing role and not a junior position. The LOA operates as a frontline sales support partner whose work directly impacts cycle times, borrower experience, and operational efficiency.

    The ideal candidate is highly organized, proactive, detail-oriented, and comfortable managing multiple stakeholders in a fast-paced mortgage environment. Existing NMLS licensure a bonus, but not required.

    Primary Objectives

    Provide consistent, high-level support to Loan Officers

    Improve file quality before loans reach Processing

    Reduce back-and-forth, rework, and avoidable delays

    Create accountability and clarity between Sales and Operations

    Elevate the borrower experience through preparedness and communication

    Key Responsibilities

    Pre-Approval & Front-End Sales Support

    Gather, review, and organize borrower documentation for pre-approvals

    Identify missing or incomplete items early and follow up proactively

    Ensure applications are complete, accurate, and properly structured

    Assist Loan Officers in preparing clean, reliable pre-approval files

    Loan Setup & Registration

    Register new loans with lenders accurately and promptly

    Confirm product, program, and structure alignment prior to submission

    Ensure disclosures are properly prepared and ready for execution

    Maintain accurate file notes and documentation tracking

    Sold Loan Scrub & Handoff to Processing

    Perform a detailed file scrub prior to processing handoff

    Confirm:

    Complete documentation

    Accurate application data

    Clear loan structure and expectations

    Submit clean, organized files to Processing to allow for efficient underwriting

    Serve as the primary point of coordination during the handoff phase

    Communication & Coordination

    Act as a liaison between Loan Officers and Operations

    Set and reinforce expectations with Sales regarding file readiness

    Maintain clear, professional communication with internal teams

    Escalate issues or concerns appropriately and early

    Process & Quality Control

    Follow defined SOPs for front-end loan preparation

    Identify recurring issues and opportunities for process improvement

    Support leadership initiatives aimed at improving efficiency and accountability

    Protect operational capacity by ensuring only clean, complete files are passed forward

    What This Role Does NOT Do

    The LOA does not process loans

    The LOA does not own underwriting conditions

    The LOA does not manage loans after handoff to Processing

    This role is focused on front-end excellence, not downstream firefighting.

    Qualifications & Experience

    Required

    Mortgage industry experience (LOA, processing, or similar support role)

    Strong understanding of loan applications, documentation, and structure

    High attention to detail and organizational discipline

    Ability to manage multiple loans and Loan Officers simultaneously

    Clear written and verbal communication skills

    Comfort working with sales-driven personalities

    Preferred

    Experience working in a high-volume or self-generated sales environment with a mortgage broker

    Familiarity with Arive LOS systems and lender portals

    Active MLO License
