    REPORTS TO: LOAN OPERATIONS MANAGER

    POSITION OVERVIEW

    The Loan Servicing Associate plays a key role in supporting the day-to-day operations of the Loan Servicing team. This position bridges foundational loan servicing support functions with core specialist responsibilities, including document management, collateral tracking, system maintenance, insurance renewals, and basic loan payment processing. The Associate works closely with the Loan Servicing Specialists and the Loan Operations Manager to ensure accurate and timely loan servicing across the bank’s portfolio.

    DUTIES AND RESPONSIBILITIES

    ** Document Management & Data Entry**

    • Upload loan documents to the appropriate Document Manager records in nCino

    • Organize and maintain back office loan files and folders

    • Confirm receipt of required hard copy documents (Promissory Notes, Recordables, and other collateral documents); update tracking systems and file accordingly

    • Combine daily proof of work records into a singular PDF

    • Provide loan statements and 1098 documentation upon request

    ** Collateral Tracking & Insurance**

    • Maintain the Collateral Tracking Report, including monitoring insurance expiration dates

    • Request and follow up on insurance policy renewals; update systems upon receipt

    • Confirm held collateral records are current and accurate

    ** Loan Servicing Operations**

    • Perform basic account and loan maintenance in Silverlake

    • Process DDA-to-loan payments, LOC-to-DDA transfers, and GFD pulls from DDA

    • Assist with boarding extensions and renewals under the direction of the Loan Servicing Specialist or Manager

    • Support daily GL reconciliation summary preparation for Finance

    ** Communication & General Support**

    • Respond to internal and external loan servicing inquiries in a timely and professional manner

    • Manage courier blue bag and mail distribution

    • Send loan document request communications to clients as directed

    • Perform other duties as assigned by the Loan Operations Manager

    QUALIFICATIONS

    • High school diploma or equivalent required; associate’s degree or coursework in business, finance, or a related field preferred

    • 1–2 years of experience in loan operations, bank operations, or a related financial services role preferred

    • Familiarity with core banking systems (e.g., Silverlake/Jack Henry, nCino) is a plus

    • Strong attention to detail with excellent organizational skills

    • Ability to manage multiple tasks and meet daily deadlines

    • Professional communication skills, both written and verbal

    • Proficiency in Microsoft Office Suite (Outlook, Excel, Word)
