    The Position: 

    Office Coordinator

     

    Job Description: 

    LHI is looking for an Office Coordinator to be responsible for handling clerical tasks in our office. You will be handling incoming phone calls and other communications, greeting clients and visitors, as well as managing files, updating paperwork and other documents, and performing other general office clerk duties and errands. 

    For you to be selected as a candidate, you will need the ability to write clearly and be proficient with word processing applications. A pleasing personality with effective communication skills is also highly valued. 

    Office Coordinator Responsibilities: 

    • Handling incoming calls and other communications 

    • Recording information as needed 

    • Greeting clients and visitors as needed 

    • Updating paperwork, maintaining documents and word processing 

    • Helping organize and maintain office shared areas 

    • Performing general office clerk duties and errands 

    • Maintaining supply inventory 

    • Maintaining office equipment as needed 

    • Aiding with client reception as needed 

    • Experience as a virtual assistant 

    • Creating, maintaining, and entering information into databases 

    • Help maintains accurate and up-to-date human resource files, records, and documentation 

    • Maintains the integrity and confidentiality of human resource files and records 

    • Performs periodic audits of files and records to ensure that all required documents are collected and filed appropriately 

    • Provides clerical support to all departments as needed 

    • Assists with new hires 

    • Performs other duties as assigned.

     

    Required Skills/Abilities: 

    • Excellent verbal and written communication skills 

    • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy 

    • Excellent organizational skills and attention to detail 

    • Proficient with Microsoft Office Suite, especially Excel. Trello is a bonus! 

    • Proficient with or the ability to quickly learn our applicant tracking system (ATS), human resource information system (HRIS), and similar computer applications 

    • Answers and transfers phone calls, screening when necessary 

    • Welcomes and directs visitors and clients 

    • Maintains filing systems as assigned 

    • Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed 

    • Responds to and resolves administrative inquiries and questions 

    • Prepares agendas and schedules for meetings 

    • Records and distributes minutes or other records for meetings as needed 

    • Maintains office supplies and coordinates maintenance of office equipment 

    • Ability to work independently

     

     

    Office Coordinator Requirements: 

    • High school diploma or associate degree 

    • Experience as an office assistant or in related field 

    • Ability to write clearly and help with word processing when necessary 

    • Warm personality with effective communication skills 

    • Ability to work well under limited supervision

     

     

    Physical Requirements: 

    • Prolonged periods sitting at a desk and working on a computer 

    •  Must be able to lift 15 pounds at times
