The Logistics Administrator is responsible for supporting the day-to-day operations of the logistics and supply chain functions. This role involves preparing documentation, inputting, updating, and maintaining information in a company’s database or computer systems. The ideal candidate is highly organized, detail-oriented, and able to work in a fast-paced environment. This role is essential for keeping accurate and up-to-date logistics records.
Duties and Responsibilities
Entering data from source documents into prescribed databases, spreadsheets, or systems.
Verifying accuracy and completeness of data before input.
Generate, gather, and maintain transportation quote data.
Communication status/confirmation of pickups and deliveries.
Coordinate with freight forwarders, carriers, and couriers to schedule pickups and deliveries.
Manage internal and external communications regarding delivery schedules and order status.
Prepare shipping documentation such as invoices, packing lists, and bills of lading if needed.
Track shipments and update clients or suppliers on the status of their deliveries.
Assist in the maintenance and generating reports or summaries using logistics software (e.g., MRP, Excel, Power BI).
Evaluating quotes and identify variances between quoted freight costs to actual billed costs.
Maintain accurate filing and documentation for audits and reporting.
Assist in additional team tasks as they are created and/or required, with the intent on supporting and driving towards company goals.
Qualifications
High school diploma or equivalent required; an associate or bachelor's degree in logistics, supply chain, or business administration is preferred.
Strong verbal and written communication skills.
Excellent organizational skills.
Attention to detail and ability to manage multiple tasks simultaneously.
Familiarity with data entry software (e.g., Microsoft Excel, or industry-specific programs).
Ability to work independently and as part of a team.
Physical Requirements
While performing some duties of the job, the employee may be required to stand for an extended amount of time, walk and reach with hands and arms. Able to lift and move up to 50 pounds.
