  • Responsibilities

    We are seeking a detail-oriented and dependable cross-functional support professional that touches multiple areas of the business, including administrative operations, shipping and logistics coordination, and sales support. This role is critical to ensuring daily operations remain organized, accurate, and efficient.

    ESSENTIAL RESPONSIBILITIES

    OFFICE SUPPORT

    • Answer incoming phone calls and communicate professionally with customers and vendors
    • Perform general filing and record-keeping duties
    • Order and manage office supplies
    • Support general office organization
    • Assist with customer invoices and support collection efforts

    LOGISTICS/SHIPPING

    • Track domestic and international shipments and resolve delivery issues
    • Schedule inbound and outbound shipments via FedEx, UPS, and other carriers
    • Prepare shipping documentation, including labels, packing lists, and related paperwork
    • Communicate shipment status updates to customers
    • Coordinate with U.S. Customs and provide required documentation to clear shipments when necessary
    • Manage inventory levels and warehouse transfers
    • Package products, including wrapping, taping, padding, and labeling
    • Assist with lifting and palletizing boxes (ability to lift approximately 35 lbs)

    SALES SUPPORT

    • Respond to customer requests and provide general sales support
    • Conduct customer follow-ups to ensure satisfaction
    • Provide assistance to our sales team
    • Assist with CRM (Customer Relationship Management) updates, reports, and quotes
    • Support bid preparation and registration processes
    • Assist with creating and maintaining EEO and other compliance documentation for government bids
    • Follow up with customers to confirm receipt of equipment and address any concerns

    QUALIFICATIONS

    • Excellent verbal and written communication skills
    • Very strong organizational and time-management abilities
    • Professional phone etiquette
    • Proficiency in Microsoft Office
    • High attention to detail with the ability to minimize errors and omissions
    • High school diploma or equivalent required; Associate degree or higher preferred

    TRAINING

    This role is ideal for someone who enjoys wearing multiple hats, is highly adaptable and motivated, and takes pride in keeping operations running smoothly behind the scenes. While candidates may not have experience in all areas, training will be provided for the right person.
